Trayne Consulting is currently recruiting for an experienced Administrator to join our client's rapidly growing Project Development company that works on large multi-residential projects.

This role will see you be the pivotal conduit of the business for monitoring, controlling and compliance of the documentation process to ensure the smooth running and handover of new projects.

This is not the standard Admin role; we are looking for someone that excels at administration, has an eye for detail and compliance whilst being focused and diligent in following process and procedure to ensure each and every timeline is met. This role has been created to support the on-site team of builders and trades in managing the process and compliance of the documentation flow, allowing the on-site team to carry out their duties on site.

You will need to be pro-active, with the ability to pre-empt and understand the importance of prioritisation. Our client needs thinkers and doers, where flexibility is required, and no task is too big or too small.

For this role, we are specifically looking for a team member that:

- can work autonomously on their own in the office whilst being part of a wider team.

Reporting to the Construction Manager, we are looking for someone who is seeking a full-time permanent role working Monday - Friday, 38 hours per week, with flexibility to work extended hours and is happy to travel to site on occasion to meet the needs of the business.

**Please note this role will currently be based on-site at Browns Plains, however the new office will be in the Logan area.**
- **The key duties of the role are as listed, but not limited to**:_
- Daily meeting with the CEO (by phone) to discuss the development jobs in progress, status report, and action plan for the day.
- Manage and act as the Central Controller for all building approval paperwork and documentation ensuing that every compliance requirement has been met, updated, and processed, following all checklists and process flows in place.
- Follow up and assist the Site Team in completing and returning all outstanding documentation to meet building compliance requirements.
- Manage the process of all site sign off sheets; ensuring they are correctly received for invoices to be paid in a timely manner.
- Liaise in a pro-active manner with Town Planners, Building Certifiers, Construction Manager, Site Managers, Subcontractors and all other members of the team (internally and externally) to ensure that process is being followed regarding compliance and completion of all documentation related to the job.
- Update all documents and photos in Dropbox and Job Programmes in a timely manner, distribute plans, action tender documents and update budgets in ARC - training provided.
- Assist all site personnel in any administration task required.
- Manage the register for any fixes required after handover of a property which will including liaising with Customers, Construction Managers, Builders, Trades to ensure timely resolution of issues.
- Assist with ad hoc duties which may include:

- Source new office - location Logan area, assist with fit-out, connection of utilities, sourcing of stationary, computers etc
- Work with the Management, Construction and Site team to select products for new builds, such as kitchen appliances, bathroom tapware as an example.
- Work from a site office to assist in specific project work.
- On-site handover of a property to customer, which will involve travel: welcome, key handover, talking through how everything works in the property, answer any questions and provide contact point post-handover.
- **To be successful in this role, you must have the following proven key attributes**:_
- Have a strong administrative background including a focus in compliance, process and flow management and be a stickler for following the process and meeting strict timelines.
- Be able to prioritise multiple tasks, but more importantly, communicate to understand when things are needed and be able to express expectations about when they can be delivered.
- Strong communication skills with the ability to build effective relationships with internal and external stakeholders. Be patient, tolerant and understanding whilst being able to get things actioned and completed.
- Excellent Microsoft office skills including Word, Excel, & Outlook is imperative, as well as the ability to use Dropbox and the ability to learn new systems quickly.
- Must have a fully flexible attitude to assist with any part of the business to ensure timely build of projects and handover.
- The ability to maintain discretion and confidentiality at all times.

Pay: $70,000.00 per year
