**Responsibilities**:
**Procurement and Logistics
- will be back up in the event the incumbent is not available. Should be able to carry out all below tasks after the training is provided**
- Manage the reorder, scrapping, write off/on of stock
- Manage the procurement of local supplies (POS, Air Liquide, Dell, RS, Element 14, Signet, Get packed)
- Manage the import procedure for deliveries from overseas and liaising with freight forwarders to ensure deliveries are on time
- Key user for Material Management
- Ensuring monitoring transactions are done on a daily, weekly and monthly basis for material management.
- Responsible for organising Annual Stocktake with Head of Finance

**Procurement and Logistics
- Will be assisting the incumbent for these tasks on a daily basis and should be able to carry out these tasks independently when required**
- Freight forwarders and courier invoices reviewed and sent to Finance
- Responsible for Monthly Cycle Counts
- Entering order confirmation details from vendors
- Picking, transferring, packing and dispatching service orders
- Picking, packing and dispatching customer orders
- Physically receiving, checking and unpacking of stock against supplied delivery notes and, placing in relevant bins/locations in the warehouse/office
- Responsible for the daily monitoring of the Office inbox including end of month accruing of invoices
- Informing Service technicians, Sales and Product Managers, Territory Managers regarding stock availability
- Entering the goods receipts into SAP (MIGO)
- Booking the vendor invoices for all purchases into SAP (MIRO) Scanning SAP documents (delivery notes, finance documents etc.)
- Use of walkie fork lift to unload and load shipments for couriers and freight forwarders

**Marketing Logistics
- Will have full responsibility for these tasks**
- Manage marketing material on loaner database (e.g. enter new marketing material once it becomes available for booking)
- Book marketing material in loaner database for events (display material), liaise with event organiser and pack and facilitate shipment to event venue
- Pack and ship demo equipment to events
- Pick and ship brochures to events or field staff
- Check marketing material and demo equipment for completeness after receiving it back from an event
- Liaise with Sales or Service to carry out functionality check of demo equipment after event
- Place orders on AP HQ for give aways in internal online shop
- Source local give aways and branded têxtile merchandise (uniforms) on the internet, obtain competitive quotes and place orders

**Managing Loaner Database for demo equipment
- Will have full responsibility for these tasks**
- Enter new loan instruments/accessories into the Loaner database
- Transfer, pick and dispatch of loan instruments
- Assist with Conference and Marketing events for loan equipment, prepare and dispatch
- Organise the reverse logistics for the loan instruments when required
- Responsible for the management of the loaner database

**Service Administration
- these tasks will be trained so that they can be carried out to back up the current Service Administrator**
- Handling of CRM service module to prepare quotes, service orders, support tickets and general tasks.
- Performing the required administrative tasks in CRM and SAP once the service engineers completed maintenance and repair orders.
- Invoicing customers on a regular basis for all types of service work completed.
- Communicating and answering customer queries regarding repair process, status of repairs and general customer requests within the service organisation.
- Proactively contacting customers to promote maintenance contracts and service contracts. Creating quotes for service contracts in CRM
- Monitors case times and tries to solve issues involving the relevant personnel Liaising with Service Technicians to reschedule service jobs in case of priority repairs or emergencies.
- Maintaining the SAP customer data for the service customers. This includes creating and changing of customers in SAP

Key user for Service CRM and Service ERP- Ensuring monitoring transactions are done on a daily, weekly and monthly basis.

**IT tasks
- Act as back up when required**
- Liaising with regional IT where required.
- Setting up of computer equipment for new employees and updating records
- Responsible for local IT requirements for hardware
- Liaising with Help desk where required for IT related issues
- Local point of contact for IT issues

**Requirements**:

- Exceptional Customer Service skills and strong committment to customer satisfaction both for internal and external customers
- Proficiency in SAP- Material Management Module is a prerequisite. If not should be willing to learn this system with enthusiasm as it is a vital part of the job
- Familiarity with warehouse and shipping procedures would be an advantage
