**Role Description/Criteria**

**Selection Criteria**:
Previous experience in administration, finance and client service; ideally in a school setting.

Well-developed organising, planning and coordination skills including the ability to prioritise tasks and to handle multiple demands effectively, efficiently and calmly.

High proficiency in Microsoft Office including:
a. Word, Excel and PowerPoint

c. competent in Intranet and Internet

Excellent communication skills including:
a. the capacity to communicate effectively within the school and external agencies

b. demonstrated ability to work as part of a team

c. excellent telephone manner

d. empathy toward children and families.

High attention to detail and the ability to multitask; setting timelines and meeting deadlines.

Demonstrated ability to maintain confidentiality of sensitive confidential information.

A commitment to the ethos, values and mission of Catholic education.

Work with ICON MACS Shared Services Centre and MACS Business Manager to complete all tasks.

Ability to participate in ongoing professional development.

**Qualifications,**

**Skills & Experience**:
Experience in school or administrative systems an advantage.

Current First Aid certificate and Working with Children's Check.

Appropriate certificates or diplomas of business or accounting.

**Specific Duties/Accountabilities**:
1. Collate, complete, organise and review all information relating to personnel records, payroll (fortnightly, annual leave loading, holiday pay, long service leave).

2. Complete the processing of school records on all personal leave and long service leave data, and provide accurate information to the Principal.

3. Complete payment of monthly PAYG.

4. Undertake dealings with families on all fee queries and payment terms.

5. Assist with the completion of monthly/quarterly/IAS and ensure reconciled to ATO Integrated Account.

6. If required assist with the preparation and input of purchase orders in school based computer software, including ensuring quotes obtained, where required.

7. If required assist with the collating, completing and organising of information relating to suppliers, bank accounts, invoices and census data for processing by Shared Service Centre (SSC).

8. If required assist with uploading payments to the school bank account.

9. If required assist with receipting and banking of cash/other receipts of monies.

10. Assist the Shared Service Centre on any requests for information or clarification.

11. Undertake annual fixed asset stocktake for assets greater than $5k ensuring any disposals of assets are advised to the SSC for update.

12. Understand and keep abreast re updates of the MACS Finance Procedures Manual and ensure procedures are followed throughout the year to ensure efficient annual audit process.

13. Front reception duties as required.

14. Administer Sick Bay and First Aid for students as required.

15. Attend ICON Workshops and ongoing training.

16. Attend/participate in other mandated training/updates e.g., CPR, Child Safety.

17. Other duties as directed by the Principal.

This position is classified under the VCEMEA 2018 as Education Support Salaries - Category B. Salary pro rata commensurate with relevant skills and experience. Superannuation contribution in accordance with Superannuation Guarantee Legislation is in addition to this salary payment.
