Role
King & Wood Mallesons provides specialised legal project management expertise and support through its Legal Project Management (LPM) group. The group provides dedicated LPM support on large, complex and extra demand (XDM) matters. LPM also develops and champions the firm wide approach to client matters using its KWM “Managing Matters Effectively” (MME) program.
Reporting to the Head of Legal Project Management (LPM) and supported by a wider team of Legal Project Managers, Consultants and Coordinators, you will provide proactive support on legal matters by assisting the Legal Project Managers who are assigned to extra demand (XDM) matters and/or other large, complex matters.
How?
With flexibility to be based in our Sydney or Brisbane office, and a balanced approach to WFH, you will work closely with a Legal Project Manager to provide proactive and solution focused project management coordination, including advice and support.
Your key responsibilities will include:
- Partnering with the Legal Project Manager assigned to the matter, to scope and plan the matter and monitor and report on progress
- Arranging and attending XDM and other team meetings and taking detailed minutes
- Preparation of bespoke and template project documentation and the ongoing maintenance and updating of those documents for individual matters
- Preparation of client reporting materials
- Providing financial reporting on matters
- Stepping into matters already in motion and proactively identifying opportunities to implement best practice project management documentation
- Supporting with regularly monitoring workloads and undertaking wellbeing and fatigue risk-check-ins
- Providing back-up support to the assigned Legal Project Manager, stepping up in their role during periods of absence where appropriate
- Providing ad hoc support to practice groups and clients on request by autonomously preparing various project management documents such as timelines, project plans, action tracker and communication plans for review by the Legal Project Manager
- Act as a brand ambassador for the LPM group through proactively seeking ways to improve, add value, support and endorse LPM initiatives

Your organisational skills, ability to multi-task and exceptional time management skills, sets you apart. You will also bring:
- Solid experience in a legal and/or professional services environment in a project focussed role
- A solution orientated mind set and enthusiasm for process improvement
- Ability to drive initiatives and take ownership of projects
- Strong influencing and relationship building skills, with an ability to work with a range of people, in a team environment and independently
- Excellent communication skills, both verbal and written
- High level of numeracy with exceptional attention to detail
- Agile approach in a fast-paced environment
- Strong customer service focus and ability to adapt communication styles as required
- Solid experience with Microsoft suite including Teams; Excel; Microsoft Project; and Microsoft Planner
