**Position Title **Registrar (Armstrong Creek Campus)
**Reports To **Head of College
**College Objective **At Geelong Lutheran College, it is expected that each staff member will support the
Christian ethos of the College and to demonstrate courtesy, co-operation and
teamwork with fellow members of staff. A good example for Christian living is to be
given to children and parents by words and actions.
The Christian Education environment we offer depends largely on the maturity and
professionalism of all staff. Therefore, it is expected that all staff members co-operate
fully with the all staff and the College Council in adhering to the policies, teachings
and fostering the ethos, culture and traditions of Geelong Lutheran College.
**Position Overview **- Reporting directly to the Head of College, twice weekly including weekly
enrolment reports, you are to keep the Leadership Team, through the Head of
College, informed of current and future enrolment statistics, to source and
disseminate key market intelligence on enrolment and demographic trends.
- Engage with existing and potential parents, government and non-government
entities to position Geelong Lutheran College as a preferred provider of
independent coeducation in the region.

College is achieved each year and with great attention to detail and accuracy.
**Duties and Enrolments**
**Responsibilities **- Commitment to have a working knowledge and understanding of Geelong
Lutheran College enrolment policies, procedures and priorities.
- Initial contact and sending of prospectus/information
- Coordinate tours of the College for prospective parents and students, conduct
pre - interviews and make appointments with the Principal, Heads of School,
including the Adaptive Education Coordinator where necessary.
- Process enrolment enquiries and take all reasonable steps to assist with their
successful admission.
- Responsible for the processing of data for all enrolments using Digistorm and
TASS
- Responsible for the annual Academic Scholarship Program.
- Responsible for the follow-up of incomplete information relating to
passports, visas, birth certificates, family court orders etc. for student files.
- Responsible for the recording of any change of family details e.g. change of
contact details
- Review students’ files prior to filing with current students’ files.
- Compile, coordinate and disseminate student enrolment information to
appropriate staff. Provide monthly or ad-hoc precise and accurate details for
current and future enrolment for the Head of College to present to the
College Council.
- Provide precise and accurate details for current and future enrolment for the
Principal to assist with timetabling and scheduling.
- Identify prospective students with special needs (e.g. gifted and talented,
learning difficulties, medical/physical conditions, high level sporting and
cultural abilities, EAL) to discuss initially with the Principal, the Heads of
School, the Adaptive Education Coordinator and then appropriate teaching
staff.
- Prepare enrolment information for Government, LEVNT, LEA, ISV, DET, and
other external bodies e.g. Federal and State Census, ESL funding, Disability
and Special needs funding.
- Foster relationships with key international contracts for the student exchange
short and midterm programs e.g. AIIU and Rotary
- Liaise with the Business Manager re fee concession requests.
- Liaise, when required, with teaching or administrative staff on new College
developments, research, planning of internal and external strategies related
to future, present and past students or any other area that relates to student
enrolment as directed by the Head of College.
- Liaise with Adaptive Education Coordinator regarding prospective student
learning needs.
- Have a commitment to providing exceptional customer service
**Events**
- Assist the Marketing and Community Relations Officer with College Tours,
Open Days or information sessions.
- Follow up of all Open Day enquiries, both attendees and non-attendees.
**Other Responsibilities**
- Undertake work outside normal working hours:
- for special events or projects, in the role as Registrar, where these
hours accrued would be taken as time in lieu.
- Willingness to undertake Professional Development, as required.
- Any other duties as directed by the Head of College.

**Experience and qualifications**
- Previous experience as a School Registrar would be an advantage
- Experience in a corporate environment is an advantage
- Certificate III in Business is an advantage
**Demonstrated ability to initiate, organise and prioritise administration tasks.**
