Sydney- Investment Banking- Contract or TemporaryThis Team Assistant position reports to the Head of Legal & Compliance for Australia and provides support to the team across the Legal and Compliance division.

Initially hired as a 12 month contractor, the potential for extension or permanent is very high and previous incumbents of this role have gone onto to progress into other roles within the team and investment bank (e.g. junior compliance roles).

This person will be responsible to 5 individuals directly, but there is 20 people in the broader team, so could potentially get ad-hoc requests from others too.

**Responsibilities**
- Scheduling and meetings, such as:

- Assist with scheduling meetings/calls and managing diaries for senior LCD staff.
- Book meeting rooms, add Zoom details, host certain meetings.
- Annual leave reporting to management for holiday periods.
- Schedule and arrange training logistics.
- Manage induction scheduling
- Answer calls and take messages when staff are away from desk
- Arrange travel logistics, including:

- Administering expense approvals.
- Booking flights, hotels, and transfers
- Setting up electronic billing and liaising with law firms to prepare and conduct billings.
- Resolving expenses, such as:

- Obtain expense approvals in system
- Collect physical and electronic receipts.
- Pay certain invoices.
- Submit claims in system “Concur”.
- Prepare and administer cheque request forms.
- Assist in managing and administering team events.
- Organising and oversight of office supplies and equipment.
- Administer office access and entitlements.
- Prepare and conduct administration of new starters.

**Required/Desired Skills**
- Experience within Banking/Legal or Compliance is not essential however would be advantageous.
- 3+ years’ team assistant, personal assistant, admin assistance experience
- Proficiency with Microsoft Windows and Office
- Strong attention to detail and organisation
- Strong verbal and written communication skills

**Other information**
- This position has flexible work arrangements -Work From Home is available 1-2 days per week, with 3-4 days in the office if preferred
- They will provide you with a laptop and screen for home
