**Position Description**
As the Project Administrator, you will play a key role in ensuring the smooth running of our projects. You will be responsible for supporting project managers, coordinating activities, and ensuring that project timelines are met.
**Key responsibilities include**:
- Project Coordination: Coordinate and facilitate all aspects of cleaning projects from initiation to completion, including scheduling, resource allocation, and ensuring that all necessary materials and equipment are available.
- Client Communication: Serve as a primary point of contact for clients regarding project updates, scheduling, and any issues or concerns. Maintain regular communication to meet expectations and address any questions or requests.
- Documentation and Record-Keeping: Maintain accurate project documentation, including contracts, work orders, change orders, and project plans. Keep detailed records of activities, expenses, and timelines.
- Scheduling and Logistics: Develop and maintain project schedules, ensuring efficient deployment of cleaning crews and adherence to project timelines. Coordinate with subcontractors or external vendors as needed.
- Budget Management: Assist in budget development and monitoring for projects, tracking expenses, processing invoices, and ensuring projects remain within budget constraints. Identify cost-saving opportunities where possible.
- Quality Assurance: Implement quality control measures to ensure projects meet or exceed established standards. Conduct regular inspections to address any issues or deficiencies.
- Risk Management: Identify and mitigate potential risks impacting project timelines or outcomes, proactively addressing safety, compliance, or other related issues.
- Team Support: Provide administrative support to cleaning crews, including coordinating schedules, arranging training or certifications, and addressing personnel issues as needed.
- Reporting and Analysis: Generate performance reports on project progress, budget variance, and client satisfaction, and present findings to management with recommendations for improvements.
- Continuous Improvement: Identify and implement opportunities for process improvements to drive continuous enhancement in project administration and execution.
- Compliance and Regulations: Ensure compliance with relevant laws, regulations, and industry standards in safety and environmental practices, incorporating regulatory changes as necessary.
**Skills and Experience Required**
To be successful in this role, you will need:
Proven experience in project administration or a related field
Excellent organizational and time-management skills
Strong communication skills, both written and verbal
Proficiency in project management tools and software (e.g., MS Project, Excel)
Ability to work independently and as part of a team
Attention to detail and the ability to multitask in a fast-paced environment
**Qualifications and Requirements**
**Experience**: Minimum of 2 years’ experience in project administration or similar roles, ideally in a commercial services or facilities management environment.
**Technical Skill**s: Familiarity with project management methodologies and software tools such as MS Project or similar platforms.
**Regulatory Knowledge**: Knowledge of health, safety, and environmental regulations within the cleaning or commercial services industry is a plus.
Pay: Up to $75,000.00 per year
