**MindMovers Psychology **is a busy, thriving Psychology practice in the heart of Double Bay. MindMovers Psychology is a Clinic that specialises in helping parents, children and families reach their full potential by providing a safe space to learn the skills and mindset to feel empowered and connected in their lives.

We are currently seeking an experienced Receptionist/Administration Assistant for our growing practice to provide high-quality support to our clients and staff. This part-time (2-3 days per week) position is essential for our clinic to provide high-quality client care and top-level administrative support. **We are seeking an applicant who can start in this role in as soon as possible.**

**Tasks & Responsibilities of this role include**:

- Welcoming Clients and enjoy fostering client relationships
- Managing booking systems and appointment making (PowerDiary practice management software)
- Answering telephone inquiries and referrals, taking detailed intakes of new referrals and messages as required
- Multi-tasking
- Confident speaking with clients, managing intakes and matching clients to approach clinical services
- Flexible
- Tech-savvy
- Can work independently and autonomously
- Enjoys self-development, growing and taking onboard feedback
- Able to manage stress with multi-tasking in high paced clinic
- Administrative support to team of clinicians (able to manage clinician requests for the booking system, diary management and general office support)
- As a receptionist you will provide integral administrative support to Practice Director and Practice Manager
- Can work as a team and support practice manager in daily tasks
- Accurate billing, receipting, and invoicing, including debt collection
- Processing of Medicare payments, and liaising with Medicare as necessary
- Proactively chasing up required documentation and information as needed
- Scanning, sorting documents and materials into our online Client files
- Managing client difficulties and concerns
- The ability to take initiative with little supervision working both autonomously and collaboratively
- The ability to work independently and alone at the front desk when the Practice Manager is unavailable
- High-level problem solving, research/investigation and analytical skills
- Have the capacity to undertake administrative tasks to a high standard including record keeping, service agreements, diary management, managing waitlists and policy development
- Extraordinary English and grammatical skills are mandatory, with impeccable accuracy and grammatical production in all documents; as well as strong communication skills with clients, referrers, Director, reception staff and within the Psychologist team.
- Managing client bookings and Psychologist schedules
- Excellent phone manner and client customer service

- The ability to multitask, work quickly and cope well under pressure
- Dedicated, proactive and committed work attitude
- Must be available to cover other shifts when required (flexibility)
- Medical/ allied health reception experience
- Strong customer service skills with an ability to work well under pressure
- Reliable, energetic, well presented and professional at all times
- A quick learner with a “can do” attitude, and excellent team working skills

**Desirable criteria**:

- Previous experience at a Medical or an Allied health practice a minimum of **2 years of Reception experience**, preferably in a health-based setting
- A sound understanding of the mental health system and mental health services
- Confidence in using practice management software (i.e PowerDiary)

**Salary**: $55,000.00 - $60,000.00 per year
