**Job Description**:
Sodexo has an exciting opportunity for an experienced Adminstration Coordinator to be part of our dynamic team, based in Balcatta. Reporting into the Travel and Accommodation Manager, this position is responsible for the administration of travel and accommodation across the IFMS Contract for Sodexo.

**Responsibilities of the role**:
**Reporting and Room Optimisation**
- Update Shutdown/No Accommodation calendars and send relevant communications to impacted stakeholders.
- Organise Additional Shutdown rooms for shut requirement.
- Complete daily/weekly/monthly reporting of site room utilisation discrepancies, contractor hours including supporting and reviewing reports with Regional Area Managers
- Extract relevant data from travel management systems and update relevant business reports, including ‘no-shows’, fuel usage, contractor utilisation, etc.
- Maintain flight logs for Charter travel

**Travel & Accommodation Booking**
- Process travel and accommodation bookings for permanent and relief site-based employees travelling via commercial and charter flights.
- Process time-critical emergency flight changes, IE early departures or ad-hoc relief coverage
- Work with Client Demand/Forecasting Optimisation team to secure rooms as required.
- Assist with processing travel and accommodation bookings for non-site-based employees as required.
- Support sites with third-party accommodation bookings (EGAR)

**Quality Assurance & System Management**
- Process travel system access requests for new starters
- Maintain accurate distribution lists to communicate travel updates with impacted site-based roles
- Liaise with site-based administrators to ensure consistent service standards are met
- Support and contribute to proactive ongoing continuous improvement activities.
- Lead by example to drive positive, effective service delivery and customer service.
- Other tasks as delegated to by Travel & Accommodation Manager

**Customer Service & Support**
- Demonstrate professional and effective communication with colleagues and internal and external stakeholders.
- Provide support to Travel and Accommodation Coordinators with non-complex escalations and queries and assist with onboarding new team members.
- Align to team rostering requirements and business needs, providing weekend coverage where required.

**Qualifications**:
**To be successful, you’ll need**:

- Minimum of 2 years' experience coordinating travel and accommodation requests.
- Previous experience in the travel industry or similar environment.
- Travel management system knowledge and experience
- Site administration experience would be beneficial but not essential.

**Skills**:

- Ability to positively lead by example and empower others to follow set process.
- Demonstrate initiative to problem solve and identify root cause issues.
- Ability to communicate effectively at all levels, both verbally and in writing, and escalate issues as required.
- Ability to analyse performance quality and identify trends and opportunities.

- Ability to work autonomously and perform effectively as part of a team.
- Self-motivated, honest, and flexible with a professional work ethic.
