Project Coordinator/scheduler

Key Responsibilities:

- Assist project managers in establishment and maintenance of project control and administration documentation, e.g. updating risk & issue registers, change control registers, documenting meeting minutes, compiling project status reports, ensuring timely follow up of actions that are due, etc.
- Use project scheduling, financial tracking and control tools to monitor project plans, schedules, budgets, expenditures, risks and issue management.
- Effectively manage time and prioritise work in order to provide project delivery support services across multiple projects and not impact on delivery timelines.
- Provide accurate project status reporting information in a timely manner to meet department and/ or WoVG ICT portfolio reporting requirements.

Accountabilities
- Assist the Project Manager in establishment and maintenance of project control and administration documentation, e.g. updating risk & issue registers, change control registers, documenting meeting minutes, compiling project status reports, ensuring timely follow up of actions that are due, etc.
- Use project scheduling, financial tracking and control tools to monitor project plans, schedules, budgets, expenditures, risks and issue management.
- Develop and maintain appropriately detailed project governance and control artefacts throughout the lifecycle of a project, ensuring they meet the agreed quality standards, compliance to department ICT project delivery frameworks and fulfil the department's ICT project reporting needs to support effective governance and audit requirements.
- Support department wide policy and standards for project document and records management practices, e.g. ensuring final and approved versions of project documentation are saved in the correct location in the official electronic records and document management system.
- Effectively and accurately communicate relevant project information in a timely manner to the Project Manager, project team and/ or directly with the key stakeholders, e.g. project status and issues that may impact client relations, etc.
- Effectively manage time and prioritise work in order to provide project delivery support services across multiple projects and not impact on delivery timelines.
- Provide accurate project status reporting information in a timely manner to meet department and/ or WoVG ICT portfolio reporting requirements.
- Support the continuous improvements for the ICT project management frameworks and standards by providing feedback & lessons from the ICT project practice to the ISD PMO team.

The key selection criteria specified below outline the capabilities required for the position.

Specialist/Technical Expertise/Qualifications
- Experience in ICT projects coordination environment is highly desirable
- Experience working on ICT projects with a variety of project delivery methodologies, such as Agile, Iterative and Waterfall will be highly regarded
