**Service Overview**:
Clarity Health Care is an accredited mental health service delivering a multidisciplinary, responsive program offering care to people with any form of mental health concern or mental illness. Our mental health programs offer psychiatrists, psychologists, occupational therapists, social workers and registered nurses. More important than discipline, is the individual skill of the senior mental health clinicians we employ. Evidence based care is delivered through outreach services, clinic based appointments, telehealth and group programs, based on clinical reasoning and need. Due to the design of the workforce at Clarity, collaboration and continuity of care is core to the delivery of the treatment, with the recovery model and bio-psycho-social model being the grounding principles of all care.

**Position Summary**:
We are looking to hire a diligent practice manager to ensure the smooth running of Clarity’s business operations across Clarity’s locations. To be successful as a practice manager, you should be highly organized and self-motivate, have a great leadership and interpersonal skills.

This position reports to the Clinical Director

**Key Responsibilities**
- Lead a team of administrative and reception staff in managing the day-to-day operations of the practice across Clarity’s locations, including:

- Scheduling and coordinating appointments to optimise quality of care and practice efficiency
- Billing and banking
- Creating and maintaining accurate patient electronic medical records
- Provide line management and support to all administrative and reception staff including provision of regular check ins and performance reviews.
- Collaborate with the leadership team to develop, identify and action business strategies
- Coordinate the use of the office space ensuring all clinicians and practitioners are able to operate in spaces appropriate for their activities eg. Meetings, patient appointments etc.
- Work closely with all clinicians and practitioners to ensure KPIs and targets set by the organisation and key partners are met
- Prepare reports (including financial reports) as required by the business owners and partners
- Manage the end-to-end processes related to the recruitment, training, and supervision of all administrative and reception staff.
- Assist in the recruitment process of non-administrative staff, which may include scheduling interviews, preparing and completing onboarding and exit paperwork, and organising equipment and software set up for all staff.
- Assist in keeping the team’s knowledge of the practice IT systems up to date
- Ensure that all health professional licenses are kept up to date
- Assist in maintaining Clarity’s accreditation against the National Mental Health Standards.
- Organise and assist in conducting regular staff meetings
- Develop, implement and monitor office policies and procedures ensuring they meet regulations
- Manage all office-related maintenance including cleaning, waste disposal, and safety/security
- Liaise with suppliers and manage inventory of equipment and supplies required to run the practice
- Assist in maintaining a good relationship between the patients and the practice and assist in addressing any concerns or complaints.
- Other duties consistent with the role as required by the practice

**Requirements**:

- Management experience, preferably in the healthcare sector.
- A degree in either Health or Business Management field will be highly regarded
- Strong computer literacy.
- Excellent leadership qualities, with good communication and interpersonal skills.
- Must be able to lead and work within a team but also operate autonomously as required
- Excellent organizational, analytical and problem solving skills.
- Must be able to coordinate series of activities simultaneously
- Must have good time management skills and ability to work and achieve targets within stipulated time limits
- Must be detail and customer service oriented

**Salary**: $80,000.00 - $100,000.00 per year

Schedule:

- 8 hour shift

- Brunswick East, VIC 3057: Reliably commute or planning to relocate before starting work (required)

**Experience**:

- Medical practice management: 1 year (preferred)

Work Authorisation:
