Receptionist/administrator

**Front Desk Management**:
- Greet visitors and clients in a friendly and professional manner.
- Answer incoming calls and transfer them to appropriate personnel.
- Manage incoming and outgoing mail and packages.
- Maintain a clean and organised reception area.
**Customer Service**:
- Assist visitors with inquiries and provide information about the company.
- Handle customer complaints or concerns with empathy and professionalism.
- Ensure all client interactions reflect positively on the company.
**Business Support**:
- Provide admin and administrative support to the various departments as needed.
- Schedule appointments and manage calendars for executives and staff.
- Assist with data entry, scanning, filing, and document preparation.
**Onboarding/Exit of Clients**:
- Coordinate the full onboarding/exit process for all clients, ensuring all necessary paperwork is completed accurately and in a timely manner.
- Communicate with clients to gather required information and documentation for onboarding/exit procedures.
- Collaborate with internal teams to facilitate a smooth transition for new and leaving clients into and out of our systems and processes.
**ASIC Management**:
- Assist in the management of Australian Securities and Investments Commission (ASIC) compliance requirements.
- Maintain accurate records and filings with ASIC, ensuring deadlines are met.
- Liaise with relevant stakeholders to gather necessary information for ASIC reporting and compliance.
- Co-ordinating the setting up of business structures, ABN, TFN, GST registrations as advised
- Coordinate for stamping, signing off and storing a digitally signed copy on XPM
**Office Coordination**:
- Coordinate office supplies orders and maintain inventory levels.
- Arrange meetings and conferences, including booking rooms and arranging catering.
- Proactive plan and organise gifts to clients and corporate functions as required
Pay: $45,000.00 - $60,000.00 per year
Schedule:
- 8 hour shift
- Day shift
- Monday to Friday
- No weekends
