**Position Overview**:
We are looking for a conscientious Office Manager to oversee the front desk operations of our business and provide administration support to the team. You will act as the ‘face’ of our company and ensure visitors receive a heart-warming welcome. You will also manage all office requirements including kitchen and stationery supplies, and facilities management.

Ultimately, you should be able to ensure our front desk provides professional and friendly service to our clients.

**Key responsibilities will include but limited to**:

- Define and implement reception desk objectives and procedures.
- Keep reception desk clean, tidy and supplied with all the necessary supplies.
- Greet, communicate with and welcome guests, providing exceptional customer service.
- Deliver guests to designated meeting rooms and offer refreshments.
- Manage meeting room bookings, set up refreshments and maintain cleanliness.
- Provide administration support to the Executive Assistant and other business units across the company as required.
- Answer all incoming calls from the various companies and redirect them or communicate messages.
- Handle complaints and specific client requests.
- Troubleshoot emergencies.
- Maintain kitchen cleanliness and monitor stock ordering kitchen supplies as needed.
- Monitor office stationery supplies and order as needed.
- Ensure proper mail distribution.
- Be the key liaison for facilities requirements and issues.
- Arrange catering for weekly staff ‘potluck’ lunches.
- Keep updated records of office expenses and costs.
- Ensure company’s policies and security requirements are met.
- Promote and adhere to UFC’s values of ‘Trust, ‘Inspire’ ‘Care’ and ‘Accountability’.
- Demonstrate commitment to the care, safety and wellbeing of self, participants and others in work environment.

**About you**:
- Proven work experience as an Office Manager and Receptionist
- Hands on experience with office electronic equipment
- Thorough knowledge of customer service and office management
- Proficiency in English with excellent written and verbal communication skills
- Solid knowledge of MS Office, particularly Excel and Word
- Excellent interpersonal and communication skills
- Good organisational, time management and multitasking abilities
- Critical thinker and problem-solving skills
- Higher School Certificate
- additional qualifications will be a plus
- A minimum of 2 years’ experience as a receptionist or similar
- Sense of ownership and pride in your performance
- Team player
