**About the role**:
The Administration Support Officer will deliver high quality administrative services to support the work of the Security Services Division within Victoria Police. Security Services Division provides state-wide support by delivering a specialist response to circumstances involving critical high risk, armed offenders, and counter terrorist related incidents.

The successful applicant will work as part of a team reporting to a VPS3 and the Divisional Management Team, with a focus on service excellence in a range of general administrative support functions. You will be working with units within the Division such as the Special Operations Group, Critical Incident Response Team, Bomb Response Unit, and Protective Services Unit, which consists of over 400 police members.

**Your duties will include**:

- Providing confidential, timely and quality administrative support to all units within the Division.
- Efficient preparation and management of records and files.
- Manage the distribution of reports and correspondence, including processing of invoices and purchase orders.
- Receive, record, and distribute mail and correspondence.
- Develop and maintain computerised records and systems including a correspondence register to record the movement of files within the office.
- Liaise with, and provide information to, members of the division and internal and external stakeholders on behalf of the office.
- Assist with the organisation of meetings and scheduling of appointments, including secretariat duties such as preparing agendas and minute taking.
- Co-ordination of corporate travel arrangements, including regional, interstate, and international travel.
- Answer and filter all incoming phone calls and take relevant phone messages.

**As the successful applicant, you will have**:

- Highly developed interpersonal and communication skills, both verbally and written.
- Experience in providing high level administrative support in a confidential environment.
- A strong commitment to high quality customer service delivery standards to internal and external stakeholders.
- Proven ability to work as part of a team as well as the ability to work independently with mínimal supervision.
- Ability to prioritise tasks whilst meeting strict deadlines and the motivation to achieve common goals.
- Strong computer skills, including Microsoft Excel, Word, and Teams.

**Requirements and relevant information**:

- One (1) x full-time, ongoing position available.
- This position is located at Victoria Police Centre, 311 Spencer Street, Docklands.
- The successful applicant will be required to undergo National Security Vetting, achieve and maintain a security classification as determined by the Department Head. To achieve this, applicants must be an Australian Citizen.
