Position in context

Reporting to the Head of TraCS, the Trauma Informed Programs Coordinator is a member of the Trauma Informed Programs team.

This role is formally based at Buddy Bags HQ. We support our staff to work flexibly, both in location and hours, based on the premise that work will remain the focus of any arrangement. How and where you work is discussed with each staff member based on individual circumstances, role requirements and accountability for delivery of high-quality work.

This role will manage the customer journey of Early Years services and Schools engaging in the Foundation’s trauma consultancy services that support educators working with children affected by trauma.

Major job responsibilities
- Respond to service enquiries from a diverse range of kindergartens, early years services and schools, understand their needs and develop quotes that fit within their budget.
- Manage service workflows from enquiry, to quote, to acceptance, to delivery and receipt of payment with meticulous attention to detail - ensuring the highest possible standard of customer service and record keeping.
- Work closely with internal stakeholders, Finance and Operations to ensure information dataflows between the CRM and finance system are accurate and that services are invoiced in line with accepted quotes.
- Work closely with Trauma Informed Programs leadership to manage service demand and support the allocation of work as appropriate.
- Support the documentation, retention and management of key program information and coordination of team meetings including agendas, minutes and key actions.
- Support the marketing activities including organizing information sessions and liaising with the Development and Comms team.
- Developing long-term relationships with key internal and external stakeholders and organisations.
- Work with people leader to develop and successfully execute a personal work plan that is aligned with the strategic objectives of the Foundations to meet key deliverables.
- Contributing positively to the Foundation’s culture of We are stronger together through developing and maintaining collaborative relationships with colleagues.

Other tasks as directed by Trauma Informed Programs leadership.

Knowledge, experience & requirements
- Previous experience in program operations or administrative support ideally in the not-for-profit sector.
- Demonstrated ability to build strong and enduring relationships with a broad range of stakeholders.
- Ability to manage competing priorities, with good attention to detail.
- Ability to work autonomously on clearly defined projects, and in a small team.
- Well-developed communication skills and maturity to relate effectively with internal and external stakeholders.
- A Working with Children Check and police check.
