Service Administrator

Full-time Monday - Friday role based in Bendigo.

Our client, a locally owned and operated business, with over 30 years of experience in the refrigeration and air conditioning industry is seeking a dynamic and organised individual to join their team as an Administrator. As an integral part of the company, you will play a crucial role in ensuring the smooth operation of daily administrative tasks. This is an exciting opportunity for someone who thrives in a fast-paced environment and enjoys working with diverse responsibilities.
**RESPONSIBILITIES**
- Contacting customers and rescheduling appointments as necessary.
- Answering incoming calls, addressing customer queries, and scheduling new jobs.
- Invoicing jobs from the previous day and generating new quotes when necessary.
- Coordinating maintenance runs for contract work and ensuring their validity.
- Communicating with technicians to manage their schedules and address any deviations from planned timelines.
- Learning and implementing warranty processes, including lodgements and claims.
- Quoting and processing purchase orders for jobs.
- Assisting with stock returns, maintaining spare parts stock levels, and keeping accurate inventory records.
**QUALIFICATIONS**
- Prior experience in an administrative or office support role is essential.
- Excellent organisational and time management skills with the ability to multitask effectively.
- Strong verbal and written communication skills to interact with customers and internal staff.
- Attention to detail and accuracy when dealing with customer orders, quotes, and invoices.
- Demonstrated ability to work independently as well as part of a team.
- Flexibility and adaptability to handle changing priorities and tasks in a dynamic environment.
