Purchasing & Supply Chain

Manage the end-to-end process from raising purchase orders and LCs to clearance of goods, tracking of vessels, chasing documentation as well as to receipting and costing of goods. Manage relationship with suppliers, customs agents, freight forwarders, AQIS to ensure compliance and a smooth process.
Purchasing

Assist Sales & Warehouse with product purchasing, planning, forecasting and shipment schedules.

Sales analysis and Inventory control to avoid ‘out of stock’.

Responsible for stock movement analysis, reporting and purchase order quantity recommendations by liaising with the sales team.

Liaise with Sales and Vendors to determine order lead times and order quantities before generating P.O.’s to ensure optimum quantity is ordered.

Generate purchase orders, delivery instructions, goods receipting in the system and cost calculations.

Following up goods receipt and obtaining proof of delivery.

Maintain records of goods ordered and receipted for HACCP purposes, product costs (using excel) and supplier information.

Work with Finance to double check supplier remittances.

Participate in WMS project implementation to set business requirements for procurement.

Develop policies & procedures for the purchasing department regarding inventory control, stock forecasting, ordering etc.

Inventory

Maintain the company sales forecasting process

Replenishment/ ordering process, optimize the stock on hand and maintain safety stock levels

Prepare reports as required on purchasing and inventory usage.

Monitor shipment ETA’s and work with Inventory Manager & Supplier to reduce delivery lead times.

Take part in company-wide stock take activities.

Other ad-hoc projects as required.

**Have awareness and be secondary support to**:
Import/ Export Coordination

Liaise with customs agents & other third-party providers

Liaise with suppliers to coordinate shipment of goods, shipping documentations for AQIS compliance

Liaise with AQIS to ensure smooth import process

Compliance & Food Safety

Be up to date with food safety regulations and coach managers/ employees about food safety.

Assist suppliers with information on labelling standards and restricted ingredients.

General

Monitor PO’s, ETA’S, ETD’s as well as contra payments or debit notes.

Administrative support duties for the department including filing, updating customs records, preparing correspondence, and inputting and retrieving information from computer database and other duties as required

Requirements and Qualifications

bachelor’s degree in business administration, management, finance, or related field preferred

Solid knowledge and understanding of purchasing processes, policy, and systems

Min 5 years previous experience as purchasing officer or related position

Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, Outlook, and Excel).

Knowledge of Microsoft Dynamics AX is desirable

Excellent verbal and written communication skills; able to negotiate, establish, and process contracts.

Must be able to speak and write in Chinese and English. Knowledge of Cantonese is an added advantage

Able to multitask, prioritize, and manage time efficiently

Accurate and precise attention to detail

Able to make decisions in a fast-paced environment
