Key responsibilities
- Provide high quality, confidential executive support to the Assistant Commissioner, Executive Officer and other managers as required, to support the effective operation of the regional office.
- Research and prepare a wide range of correspondence including executive briefing notes, ministerial submissions and reports on matters of a confidential and sensitive nature.
- Examine incoming correspondence, determine required action and priority and prepare appropriate responses where necessary.
- Prepare meeting agendas, coordinate the recording of meeting minutes and meeting action sheets, and distribute and follow up as required.
- Schedule and plan meetings, forums and events (both internally and externally); book appropriate rooms and venues; manage travel arrangements; and arrange catering as required.
- Manage travel bookings for managers in line with relevant policies and procedures.
- Coordinate a range of regional activities including ministerial visits, station openings and award ceremonies.
- Conduct research, analyse statistical data and provide reports on such data as required.
- Assist in the management of various projects on matters affecting regional policy and operations.
- Liaise with the Office of the Commissioner, QAS operational and corporate staff, community organisations, other government agencies and members of the public and ensure that any information required is provided in a timely, accurate and confidential manner.
- Ensure compliance with departmental administrative standards, timeframes and style guide requirements and provide timely advice and guidance relating to these to relevant internal and external stakeholders.
- Liaise with the Manager Business Support, human resources staff and the Clinical Education Unit to ensure effective planning, scheduling and organisation of training programs and activities.
- Assist with Local Ambulance Committee (LAC) liaison and updating of the LAC database.
- Demonstrate a commitment to the delivery of high-quality services by continually seeking to improve administrative systems and processes and leading by example.
- Actively demonstrate and promote the QAS's approach of zero tolerance towards violence and commit to supporting those affected by domestic and family violence in accordance with QAS policies and mechanisms. Model and influence a workplace culture of gender equality, respectful relationships, diversity, inclusion, employee safety and support.
- Fulfil the responsibilities of this role in accordance with Queensland Public Service and QAS values.
