Freight Administrator

**Overall Purpose of the Job**:
A Tuesday-Saturday shift to provide operational support to the operations team and customer support by being the first point of internal contact for freight issues and relaying notifications of urgent consignments to floor staff. Maintain flexibility and assist where required as instructed by the supervisor.
**Primary Duties & Responsibilities**:
**Customer and Freight Operations Support**
- **Service Delivery**:Work closely with the Freight Operations Team to ensure a high level of service is delivered to customers.
- **Issue Resolution**:Contact customers immediately regarding freight discrepancies, damages, and incorrect labeling.
- **Paperwork Accuracy**:Notify customers promptly about paperwork issues and incorrect details on connotes.
**Internal Coordination and Communication**
- **First Point of Contact**:Serve as the first point of contact for floor staff regarding Toll Works Freight inquiries, including printing out dockets, checking in Toll Works, and communicating with data entry staff to update connotes and manifest changes as needed.
- **Internal Communication**:Act as the primary contact for internal staff such as Webb Dock customer service and other Toll Tasmanian depots.
- **Customer Service Coordination**:Be the main contact point for Internal Customer Service.
- **Role Coverage**:Provide coverage for the Container Manifesting Clerk and Back Gate Clerk as required.
**Freight Management and Control**
- **Freight Tracking**:Work closely with operations personnel to track freight shortages, misdirection's, and damages using the daily ‘freight held’ report issued by the Freight Team.
- **Hold Bay Control**:Manage the “Hold Bay” with daily audits, ensuring all freight is correctly labeled and updating records in systems accordingly.
- **Customer Service Requests**:Raise Customer Service Requests (CSRs) for damages and shortages.
- **Freight Sorting**:Sort and consolidate carton freight.
- **Freight Reconciliation**:Reconcile freight as directed by customers in cases of damages, short supply, or specific customer requirements.
- **Service Control**:Assist in controlling freight transit scheduled services to ensure relevant General and Express services are met, escalating issues as necessary to relevant staff.
**Compliance and Safety**
- **Depot Traffic Flow**:Adhere to the traffic flow of the depot.
- **Mobile Phone SOP**:Comply with the Mobile Phone Standard Operating Procedure (SOP).
- **Uniform and Safety Gear**:Ensure the proper maintenance and wearing of company-issued uniforms and safety gear (safety vest/boots).
- **Meeting Attendance**:Attend all company-requested meetings.
- **Absence Reporting**:Notify the supervisor/manager prior to the requested start time if unavailable to attend work.
- **Leave Forms**:Complete leave forms at least one week prior to taking leave, to be authorized by the Freight Manager/Supervisor.
- **Timekeeping**:Clock on and off at the start and finish of every shift.
- **OHS and Dangerous Goods**:Work in accordance with Occupational Health and Safety (OHS) and Dangerous Goods requirements.
- **Team Collaboration**:Collaborate flexibly with supervisors, managers, and other staff members, completing all requests to the best of your ability.
