Description of role

Our Studio Administrators are part of the Studios team which is one of the functions of the global Business Support team, which collectively is responsible for supporting our global team on all aspects of business operations. The Studios team offers a well rounded experience to our internal team and external stakeholders on many operational day to day areas, including travel, studio logistics and facilities, compliance and championing our company culture within our studios.

This position will require you to work in close collaboration with the other regional Studio Administrators who are based in our US and UK studios. You will be line managed by our Studios Manager and you will also liaise closely with your Regional Partner (Australasia) to ensure the smooth and compliant day to day running of the Melbourne studio. You will also liaise with other key stakeholders (locally and globally) as appropriate.

Charcoalblue Studio Administrators are responsible for all day-to-day administrative duties within their local studio, providing support to their local team, delivery of local initiatives, and collaboration on global initiatives ensuring cohesive processes are reflected in that region. This job requires a high attention to detail, an excellent communication style and the ability to multi-task and prioritise accordingly, often working to tight deadlines. A sense of humour and the ability and willingness to get the job done are key to success

The key responsibilities below are applicable to all Charcoalblue Studio Administrators, noting however that some of these duties may be weighted differently according to local conditions, i.e. size of local team and studio.

You will be based in the Melbourne studio for 100% of your working week unless by prior arrangement with your line manager and/or Regional Partner.

**Key **responsibilities**
- First point of contact for all team members (local or visiting from other studios) for studio support and general administrative inquiries.
- First point of contact for visitors, phone calls, directing accordingly and dealing with all verbal and written inquiries.
- Support all team members affiliated to your local studio, on their day-to-day requirements including responsibility for travel logistics (travel management systems, accommodation booking requirements, etc. in line with Company policy).
- Responsibility for coordinating essential facilities services, such as security, cleaning, and waste disposal for the studio and maintaining a well-stocked studio for effective working.
- Responsibility for local / regional administrative and compliance matters including insurance administration and other external stakeholder contracts in liaison with senior management.
- Key point of contact for all local studio Health & Safety, Fire Safety and Business Continuity compliance tasks in liaison with senior management, seeking support and sign-off as required.
- Provide studio inductions for new team members.
- Responsibility for studio reconfigurations and relocations as directed by Regional Partner.
- Coordinate with other global Business Support team members (IT / Finance / HR / Training & Development / Marketing / Business Development) to ensure smooth operations and common approach on local and global culture and initiatives.
- Support on wider Business Support Team initiatives and project requirements as required such as preparation of bid documentation material and basic local studio finance tasks in
