The role

The Impact Programs Support Officer plays a vital role in providing diverse administrative and operational support to the Impact Programs team, ensuring the smooth delivery of services including but not limited to administrative tasks, supporting program delivery, and internal and external stakeholder engagement.

This role will also support In-Kind Donation, providing exceptional customer service when engaging with our generous donors, as well as providing accurate and timely correspondence.

Working closely with the Office Manager and the Impact Programs team, you will be responsible for:

  • Providing diverse administrative support to the Impact Programs team, including answering enquiries, responding to emails, helping with reports, and day-to-day tasks
  • Assisting with organising meetings, team activities, and program activations and events
  • Ensuring office operations are running smoothly, including managing supplies, and keeping things tidy and organised
  • Assisting with donations and deliveries, including sorting, packing, and helping distribute items
  • Providing accurate data entry and record-keeping, including tracking donations and helping prepare thank-you letters for supporters
  • Supporting the delivery of our Impact Programs during peak periods, including our Kidzone playroom and newly developed Family Concierge program

Key criteria

To be successful in this role, you will possess the following:

  • Certificate III or equivalent industry-relevant experience in administration
  • Minimum 1-2 years' experience in administrative role
  • Demonstrated ability to follow processes and procedures with a high level of detail
  • Excellent time management, organisation and prioritisation skills with the ability multi-task in a fast-paced environment
  • Excellent customer service and people skills with an ability to maintain a professional demeanour
  • Confident computer skills, including Microsoft Office suite and the use of web-based platforms, to undertake administration tasks relevant to the role
  • Experience entering data accurately into CRM systems
  • A strong understanding of professional boundaries, privacy and confidentiality
