Admin & Systems Support Officer

The Role

Pearce IP has a full-time role for a capable and driven Admin and Systems Support Officer to join our CEO's office.The successful candidate will:

• Provide general administrative support to the Executive Officer;
• Administer and submit applications for corporate awards;
• Book international and domestic corporate travel for team members, in line with the Pearce IP Travel Policy and Guidelines;
• Undertake other general office and administrative duties;
• Participate in billing and invoicing process at the end of each month and ensure all billing, adjustments and invoices are delivered on time and in full;
• Become a superuser of the firm's systems, updating systems templates, standard letters and troubleshooting systems issues as and when required;
• Oversee system process improvement initiatives, working with both vendors and internal customers;
• Support other teams with backup assistance as and when required.

About you

If you are looking to be trained the right way by experts in the field, this role is for youCandidates will be motivated to commence their career in administration by supporting a high functioning administrative support team. You will bring to the role:

• The ability to act with confidence in a fast paced, professional law firm;
• Experience with more advanced word processing functions such as creating and amending templates;
• Well developed analytical and problem-solving skills, decision-making abilities, and resilience;
• Sound end of month invoicing skills;
• Confidence in liaising with third party providers and peer-to-peer interactions;
• Timeliness and the ability to meet strict deadlines;
• Proficiency in office 365;
• Experience in Actionstep or other legal matter management systems;
• A structured way of working with a strong work ethic and exceptional initiative.
