Administration Assistant

Newcastle Anglican has a great opportunity for an Administration Assistant to join the team and provide support across all Therapy and Behaviour Support and associated services.
In this role, you will manage referrals and enquiries for the services and assist the team in the development of information and resources.
This is a Part-Time position (3 days per week), totaling 45.6 hours per fortnight. The role works on Monday, Tuesday, and Friday.

- Support the development of the TaBS across a range of specific programs and services
- Collaborate with team members, team leaders, and the Community Services Manager to ensure quality service delivery
- Enter, update, and maintain data on multiple IT platforms
- Prepare service agreements and related paperwork for clients and services
- Maintain client files to ensure information is accessible as needed
- Perform administrative duties such as faxing, emailing, filing, photocopying, typing, and taking minutes
- Develop service proposals and quotes for fee-for-service customers
- Support billing processes and collaborate with the finance team
- Liaise with NDIS regarding budgets and funding requests
- Monitor claims and supports on the NDIA portal
- Assist with maintaining fleet vehicles, including service bookings and log sheets
- Order supplies for sites as required
- Certificate III in Business Administration or relevant industry experience
- Excellent communication and interpersonal skills
- Customer service focus and experience
- Ability to work collaboratively in a team
- Strong organizational skills and ability to manage multiple activities
- Initiative and ability to work independently
- Proficiency in Word, Excel, Access, and web-based platforms
- Experience with databases and accurate data entry
- Strong attention to detail
- Understanding of confidentiality principles
