Overview

Your role within the Disaster Resilience Program (the Program, DRP) supports the department respond to disaster events that occurred across 2021 and 2022. The work you will do helps someone every day, and that means the world to us.

Responsibilities
  • Managing operational and administrative tasks to ensure maximum efficiency in the delivery of the Program, including assessment of grants stages and progression of applications to reach agreed milestones.
  • Providing quality service to customers via inbound phone calls in response to various contractor, applicant, or public queries regarding the Program.
  • Resolving specific customer problems in an efficient and courteous manner, including assessing applications for grants and liaising with stakeholders, including applicants and contractors.
  • Providing first level escalation and management of queries or complaints, and where relevant, escalating concerns to supervisor/manager.
  • Proactively setting, monitoring and reviewing performance KPIs with staff, addressing issues in a timely manner.
  • Maintaining a high standard of grant management practice through identification of issues, risks, and exceptions for review and continuous improvement.
  • Preparing accurate and timely data and reporting, to support Ministerial and other requests for information.
  • Consulting and collaborating with supervisors and staff on matters of customer service, policy, procedures, and standards.
  • Working with internal and external stakeholders to foster productive working relationships, ensuring best outcomes for the program and participants.
  • Monitoring finance and invoicing activities.
  • Supporting a workplace safety culture by ensuring that all relevant policies and practices are applied and a part of day-to-day operations.
  • Contributing to the maintenance of an effective records management system, including integrity of data input, by adhering to records/information systems, legislation, and procedures.

  • Demonstrated communication and interpersonal skills, with the ability to work collaboratively with others and maintain positive internal and external relationships.
  • Demonstrated capacity in driving continuous improvement by identifying and sharing innovative ideas that achieve successful outcomes.
  • Demonstrated capacity to energetically approach challenges, set priorities, and organise yourself to meet deadlines.
  • Ability to mentor, coach, and implement development opportunities to enhance staff skills and knowledge.
  • Uses judgement in decision making and rigorously researches and analyses information relevant to tasks.
  • Experience with SmartyGrants platform is considered highly desirable.
