The Roles: The Medical Admin Assistant plays a crucial role in the efficient functioning of our service offering to veterans through Total Veteran Healthcare. This position is responsible for answering incoming phone calls, coordinating consultations with doctors, and managing administrative tasks that support the timely onboarding of veterans into our healthcare programs. This position is vital to ensuring excellent patient service and acting as the first point of contact for our veteran patients.
What You'll Do
- Patient Interaction and Customer Experience: Responsible for responding to patient enquiries, delivering key messages about the business services, and facilitating access to healthcare practitioners. You will be the first point of contact for veterans for in person attendance in the clinic, phone enquiries and online bookings.
- Administrative Support: Provide assistance regarding the patient journey, including eligibility checks, bookings, patient records, referrals, prescription management, and use of systems including Best Practice, Hot Doc, and Snapforms.
- Training and Development: Participate in training and education for all staff on clinical partners, processes, and service-aware presentations.
- Data Collection: Harness data and report to management team to inform administrative decision making, including weekly administrative data reports and performance metrics.
- Governance: Operate in accordance with all applicable governance policies and processes, ensuring correct data security and privacy regulations are adhered to.

- Experienced Medical Admin Assistant: You have strong experience in healthcare administration, with excellent customer service values. You can work independently, coordinating the access to care for patients.
- Systems Focus: You understand the importance and power of systems, and the correct use, and management of these to achieve operational outcomes. You have detailed experience in Best Practice, and other IT systems.
