The Opportunity
Live and work the dream in Mona Vale We're seeking a highly organised, proactive, and detail-oriented Executive Assistant to support our vibrant Mona Vale office and become the Director's right hand. This is a fantastic opportunity to play a key role in our growing and reputable consultancy, enjoying a short commute and the best of the Northern Beaches lifestyle.
What You'll Be Doing
As Executive Assistant, you'll be at the heart of our daily operations, ensuring the Director is fully supported to focus on delivering expert migration advice. Your responsibilities will include:
Client Relationship Support: You'll play a key role in supporting the Director's interactions with clients, assisting with CRM management, and helping to prepare client correspondence and documentation (under supervision).
Operational Efficiency: You'll keep the office running smoothly by maintaining office standards, streamlining administrative processes, managing filing systems and supplies, and assisting with onboarding new team members.
Diary and Communication Management: You'll manage the Director's busy schedule, coordinate meetings, and act as a primary point of contact, handling calls, emails, and preparing correspondence.
Meeting and Reporting Assistance: You'll organise meetings, prepare agendas and minutes, and assist with financial tasks, including invoicing, reporting, and managing expense reports.
Marketing and Growth Support: You'll support the Director's marketing efforts, including social media, and assist with research and activities related to business development.
Who You Are
You are a highly organised and efficient individual with a passion for providing exceptional administrative support. You possess excellent communication and interpersonal skills, a proactive approach, and the ability to anticipate needs. You thrive in a busy environment, are adept at multitasking, and take pride in your attention to detail.
Proven experience in a professional services environment, demonstrating highly developed organisational and administrative skills.
Strong computer literacy, including proficiency in CRM and accounting systems (experience with Migration Manager and Xero is highly regarded).
Excellent written and verbal communication skills with meticulous attention to detail.
Exceptional time management and analytical skills, with the ability to work autonomously.
A proactive, enthusiastic, and professional attitude with a strong ability to take initiative.
Demonstrated ability to work effectively under pressure, manage deadlines, and prioritise tasks.
