About the role:

A Technology Project Support Specialist in C4i Solutions provides practical and timely project support to our Project Teams and Managing Director. You'll be adept at running multiple projects and prioritising work depending on operational requirements. The ideal person is used to working in multi-faceted work environments, and able to juggle priorities accordingly. This role is a critical internal support role, and can include other duties as required, to provide diversity to the position.

Your responsibilities will include but not be limited to:

• Provide Project Support to all current and future projects.
• Create and maintain the C4i Project Master Schedule.
• Act as the primary POC in the C4i Solutions PMO.
• Schedule project stakeholder meetings, prepare minutes, and document actions.
• Ensure resources are allocated accordingly, and all hours are captured and accounted for (time sheet confirmation and audit).
• Capture critical project information, including schedule, milestones, resourcing, costs, risks and other information.
• Provide administration support to the Managing Director, Leaders and other PMs when required.
• Assist with capturing and documenting the work breakdown structures, in particular at the sales capture and tendering phases.
• Capture all other project milestones (Including Grant Projects as example), and work with the Delivery Managers and Project Managers to ensure milestones are tracked. Ensure PMs and the Managing Director are informed when milestones are completed, are running late, not achieved or rejected (from the client).
• Capture project Contract Change Procedure (CPP), and ensure variations are captured and actioned.
• Capture Project RAID logs (Risks, Actions, Issues, Decisions) and project risks in the C4i Solutions RISK register. Highlight concerns to the MD.
• Establish project reporting tools and dashboards (JIRA, Confluence, other).
• Establish and maintain any required project specific policies and procedures, including SharePoint (for future state).
• Other duties as required such as QMS, peer review of documentation, other duties as required.

About you:

• An Australian Citizen with a current or recently inactive AGSVA clearance.
• High level of detail and accuracy, and commercial acumen.
• Project Support or Project Management experience, within complex projects (Preferred).
• Cert 4 in Project Management & Prince 2 practitioner (highly regarded)
• A technical background in ICT, Technology or Engineering (highly regarded).
• Experience using Jira or other project tools.
• Highly experienced using MS office suite, in particular Visio, Excel and PPT.
• Able to multi-task and show initiative when required.
• Able to build and maintain relationships.
