Position
Due to consistent company and industry growth, BTP Civil is searching for a Office Administrator/Personal Assistant to join our team. You will be reporting directly to the Managing Director, the role will involve great diversity including managing a range of duties from scheduling client meetings, to communicating between departments. You will be responsible for completing multi-level tasks in a professional and timely manner. You will assist the Managing Director with general business duties and administration requirements as well as event planning and financial tasks.
Responsibilities
- Supporting the Managing Director in daily office operations, from managing phone inquiries to coordinating schedules, to ensure a seamless and productive work environment.
- Providing critical administrative support to leadership, including data entry, payroll assistance, and ad-hoc tasks, to drive team efficiency.
- Complete Invoice entering and Accounting based activities to assist the construction site staff
- Assist site staff with new project setup's in the system, including printing documents
- Cultivating a welcoming and organized office atmosphere
- Supporting recruitment efforts by coordinating candidate communications and documentation, contributing to the team's growth from 30+ team members.
- Enhancing workplace culture through creative initiatives, like organizing team events, to foster collaboration and engagement.
- Assisting with HR-related tasks, such as onboarding processes and compliance checks, to maintain operational excellence and support staff development.
Qualifications and What we are looking for
- Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.)
- Excellent written and verbal communication skills
- Ability to multi-task, organize, and prioritize work
- Ability to work unsupervised and provide a high level of people skill to clients and staff
- Understands that not everything will be in place yet—you'll be building the systems and processes
- Embodies a proactive, "make it happen" attitude.
- Has experience in recruitment or talent acquisition—this is a big plus
