The Accounts Payable Officer is responsible for the efficient, accurate, and timely processing of invoices, payments, and expense claims for Voith Hydro's Australian operations. The role ensures that all payable transactions and trade payables balances are correctly recorded in the General Ledger, in full compliance with Voith policies and procedures.

This position supports the Commercial team by maintaining strong financial controls, ensuring adherence to company policies, and fostering positive relationships with suppliers and internal stakeholders. The Accounts Payable Officer plays a key role in the accurate posting, reconciliation, and reporting of accounts payable transactions, contributing to the integrity of financial information and the smooth operation of business processes.

• Review and check invoices for accuracy, ensuring correct Cost center, ABN, GL A/C approvals, and supporting documentation.
• Perform three-way matching of invoices with purchase orders and goods/services receipts.
• Accurately and promptly process Accounts Payable (A/P) transactions, including supplier invoices and credit notes, in compliance with Voith policies and procedures.
• Obtain necessary approvals for payments and schedule weekly and monthly payment runs in line with agreed terms.
• Create and manage Purchase Orders (POs) in the SAP system, ensuring accuracy, proper coding, and alignment with approved budgets.
• Manage vendor accounts, including reconciliations, correspondence, and resolution of discrepancies or disputes.
• Reconcile supplier statements, investigate variances, and follow up on overdue items.
• Offset down payments made against invoices as required.
• Collaborate with Procurement, Project, HR and GBS teams to resolve A/P issues and support business operations.
• Support month-end and year-end closing processes, including reconciliations, reporting, and currency valuation of payables.
• Maintain accurate records and documentation for audits, compliance, and financial reporting.
• Identify and implement opportunities for process improvements and automation within A/P workflows.

• Certificate/Diploma or University Degree in Accounting, Finance, or Business (or equivalent experience).
• 3–4 years' experience in Accounts Payable or similar finance role, ideally within engineering, construction, or large project environments.
• Strong knowledge of A/P processes, including invoice matching, reconciliations, and payment runs.
• Good bookkeeping and general accounting skills.
• Experience with SAP(highly regarded) or other ERP systems.
• Proficiency in Microsoft Office applications (Excel, Word, Outlook).
• High attention to detail and accuracy in data entry and reporting.
• Strong analytical and problem-solving skills, with the ability to identify root causes of issues.
• Good business acumen, integrity, and a demonstrated commitment to compliance and financial controls.
• Excellent communication and interpersonal skills, with the ability to work effectively with suppliers and internal stakeholders.
• Ability to prioritize workload, meet deadlines, and manage competing demands.
