About Us
Watson Webb is an innovative and high-performing law firm based in Sydney's CBD. Our mission is to provide our clients with breadth and depth of knowledge and commercial experience to solve even the most complex legal issues.
A career with Watson Webb allows you to undertake quality work, experience a high level of collaboration, and work in a supportive, collaborative environment where effort is seen and rewarded.
Our firm has a truly unique culture, and we are committed to providing our team members with the ability to work in an environment that is mutually beneficial for you, our clients, and our firm.
About the Role
We're seeking a highly organized and proactive Personal Assistant to provide comprehensive support to a Partner. In this dynamic role, you'll be instrumental in managing their daily operations, ensuring seamless administrative flow, and contributing to their professional and personal efficiency.
Responsibilities
- Manage the Partner's diary, including scheduling meetings, notifying them of daily attendances, and proactively arranging appointments.
- Triage communications by efficiently handling incoming phone calls, assisting with client inquiries when the Partner is unavailable, and daily reviewing and sorting their email inbox.
- Liaise with the legal team, acting as a key point of contact with lawyers on the Partner's team regarding client matters and firm operations.
- Support business development by assisting the Partner with events, client opportunities, and other initiatives.
- Manage time entries, ensuring the Partner's daily time is accurately recorded and entered into the practice management software.
- Assist with legal documentation, helping to collate briefs for barristers and prepare court and other necessary legal documents.
- Perform data entry, accurately inputting data into CRM and document management systems.
- Provide general support, offering comprehensive administrative and personal assistance to the Partner (e.g., dry cleaning, shopping, miscellaneous tasks).
Your Experience
- Relevant experience in an Administrative or similar support position, preferably in the legal industry or another professional services firm.
- Demonstrated experience in effectively managing complex schedules, triaging calls and emails, and coordinating appointments for senior professionals, ideally in a fast-paced environment.
- Strong preference for someone with legal exposure, supporting the preparation and creation of legal documentation.
- Prior experience with Business Administration, Business Development, and Client Relationship Management.
What Will Set You Apart?
- The quality of your organizational skills as an experienced EA, with rigorous diary, time, and email management.
- Excellent teamwork and collaboration skills, both as part of the legal and administrative teams.
- Ability to prioritize tasks, meet tight deadlines, and assist the Partner of a busy law firm.
- Intuition and emotional intelligence to make good decisions and communicate effectively with all members of the firm.
- Ability to maintain strong relationships with a fast-paced and sometimes challenging-to-access Partner.
- Minimize stressful workload of the Partner by providing efficient and preventative administrative support.
- High level of attention to detail.
