Role Overview

As theOperations Administrator, you will be the central support for the regional operations team, working closely with theArea ManagersandOperations Manageron a daily basis. You will be responsible for coordinating travel and accommodation for staff, maintaining scheduling accuracy, processing quotes and purchase orders, and supporting reporting and administrative functions.

Key responsibilities

Scheduling:

  • Coordinate and maintain staff rosters for FIFO schedules and project timelines.
  • Contact tenants to arrange suitable dates for works.
  • Liaise with supervisors and team leads to ensure resourcing aligns with job requirements.

Travel & Accommodation Bookings:

  • Book flights, accommodation and vehicles for staff.
  • Manage changes or urgent booking needs as required.

Administrative Support:

  • Communicate with clients to maintain accurate chains of communication.
  • Support wider operations with ad hoc administrative tasks

Reporting & Documentation:

  • Prepare and maintain reports using information provided by the teams.
  • Liaise with the teams to ensure accurate reporting and documentation of works.

Quoting & Purchase Orders:

  • Raise purchase orders for suppliers and subcontractors.
  • Assist in compiling quotes for maintenance and construction projects.
  • Submit information to the accounts team for invoicing.

Communications:

  • Daily collaboration with the Area Managers and Operations Manager.
  • Communicate effectively with suppliers, contractors and internal staff.

What We Are Looking For

Required:

  • Minimum 2 years of experience in an administrative support role.
  • High attention to detail and time management skills.
  • Clear, confident communication style.
  • Experience in scheduling or resource coordination.
  • Familiarity with maintenance or construction project workflows.
  • Prior use of Xero
