Program Coordinator

The CIEE Melbourne Program Coordinator supports the efficient operations of the Melbourne Centre, ensuring that programs run smoothly, with the highest levels of quality and student satisfaction. Assigned programs may include full Semester and Summer study abroad programs, custom programs, internships, as well as other types of educational CIEE programs.
Duties & RESPONSIBILITIES
- Academic Administration: assist CIEE academics with requirements such as room bookings, materials, co-curriculars etc. Support registration, enrolment and attendance; monitor academic performance of students and assist with reporting, etc.
- Program Evaluation: manage the student evaluation processes, including both evaluations of the program as a whole and of individual courses.
- Program Administration:
- Enrolment: monitor program enrollment from sending institutions.
- Financial Administration: participate in the budget process and monitor budgeted spending in conjunction with the Centre Director.
- Custom Programs & Delegations: in conjunction with the Centre Director and other staff, assist in the preparation of visits by sending school representatives and/or evaluation teams (providing information, coordinating their schedules, establishing appropriate local contacts, setting up group and/or individual meetings with students, completing reports).
- Student Support:
- Orientation: support orientation to participants upon arrival, including safety information addressed to minimize risk and enhance their individual safety; evaluate and develop the on-site orientation for the assigned program/s.
- Student Support & Pastoral Care: assist with individual and group meetings with students during the program.
- Health, Safety and Security: support the Centre Director in monitoring the health, safety and security (HSS) of all assigned students; work closely with other members of the team to resolve cases of serious injury or illness; communicate all HSS cases to those that need to know in a timely and complete manner, following policies defined by the CIEE HSS standard operations manual.
- Communication: maintain open communication about student incidents (medical or other) as defined by the CIEE policies.
- Marketing & Communication:
- Marketing: participate in the development of promotional materials, catalogue copy, bulletins, handbooks, arrival information, orientation information, pre-departure etc.
- Website & Social Media: monitor and update the program information contained on the CIEE website as pertains to Melbourne; support CIEE Melbourne social media.
- Student Activities:
- Intercultural Learning & Exploration: participate in the design and implementation of extra-curricular programs (visits, day and overnight trips), that complement the program's learning goals and create opportunities for students to connect with cultural, social and educational programs outside of formal learning.
- Other: Other duties as assigned.
SKILLS REQUIRED
- Communication: strong communication skills, both written and verbal, and be able to communicate to multiple audiences (students, faculty, etc).
- Student Centric Customer Service: strong commitment to customer service and an excellent student experience.
- Administration: attention to detail, strong administrative skills, and the ability to complete assigned tasks efficiently and accurately; ability to handle multiple tasks and priorities simultaneously; strong computer skills (Word, Excel, Powerpoint).
- Judgment & Decision-Making: exercise sound judgment in interactions with students, parents, partner organisations, in all aspects of the on site study abroad program.
- Sector Engagement: represent CIEE in a professional manner at networking and professional sector events.
- Interpersonal: demonstrated integrity, initiative and professionalism. Enthusiasm to take students on outings, and celebrate Melbourne.
- Flexibility: ability to respond quickly to changing circumstances and possess a high tolerance for ambiguity.
Education & Work Experience Requirements
- Experience in the Australian higher education sector highly desired.
- Familiarity with U.S. higher education and direct experience with U.S. College and University students highly desired.
- Valid working with children check.
- Experience and knowledge of Melbourne and an enthusiasm to show US students around the city.
WORKING CONDITIONS
The responsibilities of the Program Coordinator are subject to peak periods (e.g. student arrivals, grade reporting, registration, etc.) and/or unplanned emergencies or crises that may require extra hours.
The Program Coordinator is expected to work from the Melbourne CIEE Centre (Melbourne CBD) a minimum of 3 days a week, and full time during peak periods.
This role requires accompanying students on day trips, overnight trips and local cultural and social activities to showcase Melbourne.
