About the role
We're seeking an experienced Workplace Experience / Executive Assistant to be a key contributor to the smooth operation of our Sydney HQ. This role blends operational excellence with a strong focus on culture and executive support, helping ensure our office runs efficiently and our people stay connected.
As an integral member of the People team, you'll work closely with our CEO and Chief People Officer to manage executive priorities while creating a welcoming, well-organised workplace where teams can thrive.
This is a full-time, in-office position based in Waterloo, Sydney.
What you'll be doing
- Executive Support
- Manage the CEO's calendar, communications, and meeting coordination.
- Support internal and external stakeholder engagement.
- Prepare polished documents, presentations, and reports.
- Handle ad hoc administrative and occasional personal tasks with discretion.
Office & Workplace Experience
- Keep our office humming, run reception, shared spaces, meeting rooms, and supplies.
- Own vendor relationships for cleaning, catering, and maintenance.
- Manage building access, office devices, and WHS compliance.
- Ensure a seamless experience for visitors, contractors, and employees alike.
- Plan and host engaging events, from monthly team socials to larger company offsites.
- Support onboarding, making new joiners feel genuinely welcomed from day one.
- Partner with the P&C team to help embed culture across the office.
- Be the friendly face for first-day experiences, and the organiser behind the scenes.

What you bring to the team;
- Proven experience supporting C-suite leaders and managing busy executive calendars.
- A background in office or workplace operations, with a focus on quality and efficiency.
- Confidence using Google Workspace (Docs, Sheets, Slides, Calendar) to stay on top of tasks.
- Strong communication skills and a sharp eye for detail.
- The ability to manage multiple priorities with calm, focus, and follow-through.
- A genuine interest in building an inclusive, well-run, and welcoming workplace.
- Love organising, whether it's logistics, office supplies, or events, and take pride in high standards.
- Are calm under pressure, adaptable, and always a few steps ahead.
- Embodies a team-first mentality and a "no task too small" attitude.
- Balances independence with partnership, especially between our CEO and CPO.
