The opportunity

The Project & Directorate Coordinator is responsible for implementing effective strategies to ensure the Customer Directorate Leadership Team are aware of critical deliverables and that submissions are made in line with deadlines.

The role will work in collaboration with the Customer Program Manager to track all projects/programs within the remit of the Customer Directorate and will be responsible for the development of project governance documentation to support the Customer Project Control Group Meetings (PCG). The Project & Directorate Co-ordinator will also be required to perform project co-ordination/administration functions, for allocated projects/programs and will provide generalist administration support to the Chief Customer Officer as required.

This role requires a naturally collaborative approach, a strong attention to detail, experience in project co-ordination and PCG governance practices, an attention for detail, strong communication skills and the ability to influence/gatekeep as required.

Key Responsibilities include but not limited to

  • Work with the Customer Program Manager to implement an effective and efficient process for the development of Customer Project Control Group documentation, ensuring full visibility of projects within the remit of the Directorate.
  • Develop high quality project governance reporting documentation and submit to key internal stakeholders (e.g. EPMO, Governance Directorate) according to required deadlines.
  • Liaise with the EMPO team, the Governance Directorate and PCG coordinators from other Directorates to ensure ongoing alignment.
  • Perform project co-ordination on assigned projects.
  • Implement high level planning tools and systems that proactively and effectively track Directorate deliverables, accountabilities, and deadlines, to ensure all submissions are made in line with agreed deadlines.
  • Act as a key liaison between the Directorate and internal and external stakeholders, supporting collaboration and the efficient flow of key information across teams.
  • Ensure a continuous improvement mindset by proactively identifying and implementing improvements to system, templates and process.
  • Work with GMCT's change function (as required) and be a key supporter of organisational change.

To be successful in this position you will require:

  • A relevant qualification in project co-ordination/management and demonstrated experience in a similar role.
  • Experience in using project co-ordination tools and software.
  • Demonstrated experience in developing high quality project governance reporting documentation.
  • Demonstrated ability to engage collaboratively and maintaining positive relationships with key stakeholders.
  • Excellent written and verbal communication skills, including minute taking and writing reports for Executive level.
