About the Role

We are seeking a highly organised Executive Assistant to support the CEO and leadership of Harrup Park and the Great Barrier Reef Arena. This role plays a pivotal part in ensuring the smooth running of board processes, grant and sponsorship applications, stakeholder events, and community initiatives.

The position requires a proactive individual who thrives in a dynamic environment, balancing administrative excellence with strong stakeholder engagement.

Key Responsibilities
  • Board Support: Schedule meetings, prepare reports and agendas, take and record minutes, manage board correspondence, and follow up actions.
  • Grants, Sponsorships & Awards: Identify, assist in applying for, and coordinate awards and grants. Manage reporting and approval processes.
  • Mackay Sports Foundation: Coordinate funding rounds, donor engagement, marketing, shortlisting of applicants, and host applicant events.
  • Event & VIP Coordination: Prepare invites, manage RSVPs, and host VIPs for events.
  • Internal Meetings & Staff Engagement: Record and distribute minutes for manager, WHS and rostering meetings. Coordinate staff breakfasts, celebrations, awards, and recognition activities.
  • Donations & Affiliate Clubs: Manage sponsorship requests, coordinate dispersals, and administer annual club renewals and applications.
  • Administration & Projects: Support the CEO and leadership with correspondence, workflow organisation, community engagement initiatives, and other general administration and initiatives that arise.
About You

To be successful in this role, you will demonstrate:

  • Strong organisational and time management skills.
  • Excellent written and verbal communication abilities.
  • Attention to detail and the ability to manage multiple priorities.
  • Proficiency with Microsoft Office and administrative systems.
  • Experience with grants, sponsorships, or stakeholder engagement (preferred).
  • A collaborative, proactive, and professional approach.
