The Sales & Production Coordinator assists in scheduling projects, tracking progress and expenses, and communicating with team members. This role involves various responsibilities outlined below.

Reporting to the Branch Manager, the Sales & Production Coordinator (SPC) acts as the "face" of the company, ensuring seamless coordination between sales, operations, and customers to deliver exceptional service. The SPC manages sales leads, proposals, scheduling, and invoicing, serving as a vital link between Arbor Advisors, crews, and clients. They communicate with customers from initial contact through invoicing.

Responsibilities include:

  • Receiving calls from prospective clients and collecting relevant information.
  • Assigning sales leads to Arbor Advisors based on territories and availability.
  • Scheduling production crews efficiently, considering equipment needs, route optimization, and customer urgency.
  • Processing daily invoices, managing autopay enrollments, and ensuring timely billing.
  • Managing and accurately tracking client information, contracts, expenses, and project data.

Skills & Qualifications:

  • Strong organizational skills to manage multiple tasks, prioritize deadlines, and adapt to changing situations.
  • Excellent communication skills for customer interactions and team collaboration.
  • Proficiency with CRM software (SingleOps preferred) and Microsoft Office.
  • Problem-solving abilities to resolve scheduling conflicts and customer concerns.
  • At least 2 years of experience in sales coordination, operations, or customer service; arboricultural experience is a plus.
