The purpose of this role is to provide executive, confidential secretarial and administrative support to the CEO, ANZ. The role will provide high-level, proactive support to the CEO, ensuring the efficient management of their time, priorities, and communication with internal and external stakeholders.

Job Description:

The Executive Business Manager supports the Cluster CEO by acting as an intermediary for both internal and external issues as well as helping to interpret, act, delegate and manage the CEO's needs and time effectively. The Executive Business Manager is responsible for understanding and assisting the CEO ANZ in driving and delivering on key strategic business priorities. In this role, the Executive Business Manager serves as a partner to the Cluster CEO supporting key initiatives to enhance collaboration, connection and communication across the business. The Executive Business Manager leads efforts to ensure consistent ways of working and information flow across teams, practices and the business. By effectively anticipating the CEO's needs, the Executive Business Manager ensures seamless operations through efficient schedule management, effective communication, and collaboration with internal and external stakeholders to advance critical initiatives. This role combines leadership, strategic planning, and hands-on support to foster productivity, optimise workflows and maintain the highest levels of professionalism.

Other responsibilities include:

  • Support the CEO, ANZ by acting as an intermediary for both internal and external issues. Act as the first point of contact with clients, internal staff and other external parties including some media, regarding matters which call for the CEO's attention.
  • Support the CEO by overseeing and driving all matters pertaining to the CEO's office whilst being able to work independently and take initiative.
  • Keep CEO, ANZ informed of commitments, priorities and internal inquiries and ensure CEO, ANZ is fully prepared.
  • Build strong and positive stakeholder relationships providing high quality customer service and high-level administrative support.
  • Co-ordinate and manage relevant responses and/or input into projects, programs, reports, presentations, correspondence, and departmental/business issues.
  • Proactively manage the CEO's time including communications (email), meetings, events, and travel, often across multiple time-zones. Scheduling appointments with clients and industry partners.
  • Coach, mentor, engage and develop the EA community, including overseeing new employee on-boarding and providing career development planning and learning opportunities.
  • Handling Invoice Processing, Diary management, agendas for meetings, travel coordination, booking accommodation and preparing detailed itineraries.
  • Act as conduit between the Communications team, People team and the office of the CEO to facilitate strategic communications across the business.
  • Implement effective ways of working practices and processes that will continuously optimise business effectiveness and enable teams.

A bit about you:

  • Strong experience supporting C-Level executive leaders preferably in a large, complex, global organisation.
  • Excellent communication skills – both written and verbal.
  • Leadership in managing executive priorities, ensuring that strategic initiatives are prioritised and that the CEO remains focused on high-level decision-making.
  • Advanced organisational and time-management skills and technical proficiency with systems, software, databases, reporting and communication tools.
  • Strong interpersonal and stakeholder management.
  • Experience in preparing and managing presentations.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, and Power Point, Teams).
  • Ability to handle high-pressure situations and manage multiple stakeholders with competing interests.
  • High level of professionalism and confidentiality in all aspects of the role, ensuring the CEO's time and activities are managed with discretion and integrity.
