We are seeking a Administration Assistant to assist our Mobile Mining department, and the general responsibilities of the role are listed below:

• Cover reception when the receptionist is absent or on leave.
This includes but is not limited to morning tea, lunch and internal meetings.

• Provide full secretarial and administration support to the Mobile Mining team and department to ensure the smooth running of the department operations;

• Develop and maintain document control processes for efficient and user friendly management of documents;

• Support the project teams in daily administration and ERP roles;

• Maintain stationery supplies for the department;

• Perform data entry, recording, printing and filing duties;

• Undertake any ad-hoc projects/duties as required;

• Tabulate reports;

• Downloading, scanning and project printing requirements;

• Booking meeting rooms when required;

• Ensuring reports (Orders and Estimates) are printed at intervals requested by the Product Managers or Directors for use during weekly team meetings or reviews;

• Generate change order request within Customer Portals where required prior to invoicing;

• Timely closure of jobs and forward to finance for invoicing;

• Raise Purchase Order Requisitions;

• Flexibility to do all assigned Administration duties as required;
