About the role This role is responsible for delivering streamlined and effective contract management initiatives, systems, and processes, while managing the administrative components of procurement and contract services to help the organisation meet its strategic and operational priorities.
Duties Coordinate and oversee the process to review and execute funding and commercial contracts, licence agreements, MOU's including revisions, variations, renewals and execution by the Board, CEO and Executive Committee.
Establish and maintain robust administrative procedures to support streamlined contract lifecycle management, ensuring consistency, accountability, and audit readiness.
Maintain and monitor the Contracts Management System (CMS) by generating regular reports, conducting data analysis, and ensuring all contract records are accurate, up-to-date, and compliant with internal policies and external regulatory requirements.
Lead the design and implementation of system enhancements to the CMS.
Develop and deliver comprehensive training and support materials to staff across all levels.
Ensure adherence to internal governance frameworks, including the Contract Management Policy, Schedule of Authorities and Delegations, and procedural checklists.
Provide administrative oversight to ensure due diligence is consistently applied across all contract-related activities.
Manage administrative tasks related to legal documentation, including data entry, digital filing, and record maintenance in accordance with Benevolent recordkeeping policies and procedures.
Support the Manager, Procurement & Contracts in the administration of procurement functions, including procurement systems, policy documentation, procedural guides, audit preparation, reporting, and the management of Share Point sites and hub pages.
Contribute to the development and continuous improvement of procurement and contract policies and procedures, ensuring administrative compliance and consistency in application across the organisation.

Skills and Requirements Certificate in Business Services or related field and/or equivalent relevant work experience.
At least 2 years' experience in a similar role or experience working in a procurement/contracts function to deliverthe highest standards of governance.
Experience working with and managing a contracts process and strong understanding and experience of workingwith various contractual documentation.
Knowledge and understanding of the legal requirements involved in specific contracts.
High attention to detail and ability to notice errors in documentation.
Ability to identify what is commercially sensitive information and maintain appropriate levels of privacy andconfidentiality.
Proven ability to multitask, be a self-starter and take a proactive approach to implementing new processes andsystems and services across the organisation.
Strong communication and customer service skills.
Ability to build a rapport and good working relationships with both internal and external stakeholders.
