The State Teams Administrator will be primarily responsible for ensuring the smooth administration of Basketball Victoria's State Team's programs. The State Administrator will oversee the administration, development and delivery of a wide range of services for our current x15 women's and men's team.

In addition, the Teams Administrator will also oversee the administration of our three elite High-Performance Programs;

The State Team Administrator will have personal characteristics that show commitment, reliability and integrity, and be proactive and capable of managing many responsibilities and deadlines in a busy time.

You will work closely with the members of the High Performance and Pathways Department, as well as numerous volunteer staff members of the State Teams program and valued service providers, to seek continuous improvement of performance in Basketball with our elite teams and programs.

About Us

Basketball Victoria (BV) is the governing body for the sport of Basketball in Victoria. The broad objectives of BV are to provide for the advancement, encouragement, conduct, promotion, and administration of Basketball in Victoria.

In addition to supporting our affiliated Member Associations, BV coordinates a number of participation and player, coach and official's development programs to encourage the development of socially desirable attitudes and values towards physical fitness and skill acquisition. This includes the selection and development of players, teams, or sides to represent BV in interstate and state matches; providing individuals with the opportunity to maximise their potential by competing in the highest level of Basketball possible, given their own ability.

BV works to provide greater access for individuals to participate in Basketball in the State of Victoria, by working with local, state, and federal stakeholders to drive infrastructure growth. BV is a recognised leader in inclusive practice as evidenced by VicHealth granting exemplar status to advocate for increased access and equity for people with disabilities in all sports settings.

About you

The successful candidate will need a combination of skills and qualities. You will have excellent organisational abilities, strong attention to detail, strong communication skills, both written and verbal. Additionally, being able to prioritise tasks, work efficiently under pressure, and adapt to changing situations are also important for success in this role. It is all about being organised, detail-oriented and proactive

Responsibilities:

  • Coordinate and manage administrative tasks for state-level basketball programs.
  • Work closely with all State Team-appointed staff to manage and deliver all requirements of the State Team's program efficiently and effectively.
  • Arrange accommodation, travel, uniform and court hire requirements for each State Team.
  • Communicate with all stakeholders including but not limited to; athletes, parents, State Team appointed staff, Basketball Australia (BA) personnel, suppliers, journalists and others, with a high degree of professionalism and customer service.
  • Communicate the criteria for the selection of State Teams to identified athletes, parents and the affiliated network.
  • Perform administration duties for the selection and appointment of all athletes, coaches and team staff.
  • Administer the annual Athlete Agreements and Individual Performance Plans (IPP).
  • Oversee team medical needs for all try-outs, camps and competitions.
  • Support the appointed State Head Coaches and Team Managers with their preparation of their team for all Championships in terms of:
    • team support staff;
    • travel planning; and
    • on site requirements.
  • Assist with the State Team staff appointments and player selection process.
  • Ensure that BV's and BA's Agreements, policies and paperwork are completed as required.
  • Prepare and monitor the annual budget (including stock and stock control) and oversee the individual team budget process and other necessary financial management requirements for the State Team programs with assistance from the General Manager High Performance and Pathways.
  • Ensure that all policy related to the State Teams Administrator's scope is appropriate and current and that these are incorporated into the BV Policy Operational Manual.
  • Update, and keep current as necessary, the State Teams Policies and Procedures Manual (and assist with updating legal agreements and policy guidelines).
  • East Coast Challenge - Administer x 4 Metro team uniforms, travel and accommodation.
  • Administer the National Performance Program (NPP) and State Performance Program (SPP) processes in accordance with the current developed program. This includes, in consultation with the four High Performance Coaches; organising venues, coaches, athletes, online registrations, volunteers, selections, child safety protocols as well as arranging weekly sessions including courts, and coaches.
  • Work with other administration members of the High Performance and Pathways team to support other programs in our pathway for the benefit and betterment of the athletes and coaches we serve.
  • Maintain player and coach databases, ensuring accurate records

To be successful in this role, you will have the following experience:

  • Strong organisational skills and time management skills
  • Experience in a sports administration, peak-body, or not-for-profit setting is a plus
  • Technical understanding of basketball, particularly in the high-performance sports environment or the broader community sports sector in Australia.
  • Experience operating PlayHQ, StackTeamsApp, and Microsoft programs.
  • Experience preparing a department budget and monitoring spending and stock control.
  • A tertiary qualification in Sport or a related discipline and/or a minimum of 5 years' experience in a related field.
  • Able to demonstrate Basketball Victoria's organisational values.
  • Be ethically strong and values-driven to further grow and promote the Basketball Victoria culture.
  • Ability to communicate in a clear, professional manner across all communication channels.
  • Highly organised with the ability to be self-motivated, responsive, and flexible in an environment with time pressures and multiple priorities.
  • The desire to develop and educate others in the field of basketball and coaching.
  • Highly developed interpersonal skills with the ability to communicate with all members of the Basketball community.
  • The willingness to commit to the inclusion of all members of our culturally diverse community in the sport of Basketball.
  • The ability to analyse data and make recommendations for future improvement.
  • Highly developed written and verbal communication skills with high attention to detail and influencing and negotiating skills.
