An exciting opportunity has arisen for a highly organised and detail-oriented individual to join a leading organisation as an Executive Assistant to the CEO. This role is pivotal in ensuring the smooth operation of the business, acting as the primary point of contact between the CEO and internal and external stakeholders. The successful candidate will be responsible for managing information flow in a timely and accurate manner, contributing significantly to the efficiency of the organisation. This role offers a chance to work closely with senior leadership, providing personalised and timely support to the CEO.

What you'll do:

As an Executive Assistant to the CEO, you will play a crucial role in facilitating effective communication between our CEO and various stakeholders. Your ability to manage information flow efficiently will contribute significantly to our organisation's success. You will be entrusted with scheduling meetings, maintaining electronic filing systems, coordinating travel arrangements, organising corporate events, assisting in shareholder communication, developing community initiatives, among other responsibilities. Your commitment to delivering high-quality administrative support will ensure our CEO can focus on strategic tasks.

  • Manage the CEO's diary and schedule meetings as per requirements
  • Maintain electronic filing systems for all key documents, ensuring easy access and organisation
  • Take and distribute minutes during OpCo and Exco meetings, track action items, and follow up on deadlines
  • Assist in the preparation and completion of Board Papers, ensuring accuracy and timeliness
  • Coordinate travel arrangements, including airline and hotel bookings, for the CEO
  • Maintain relationships with travel, airline, and hotel service providers
  • Organise 'All-staff' functions, CEO functions, and other corporate events, including offsites and client events
  • Assist in maintaining the Shareholder Registry and communication with shareholders as needed
  • Work within the business to develop a uniform charity committee and program to support community initiatives
  • Provide occasional assistance with personal trips or holidays for the CEO

What you bring:

The ideal candidate for this Executive Assistant position brings strong time management skills with an ability to multitask effectively. You have a keen eye for detail and are well-versed in administrative and organisational tasks. Your excellent interpersonal skills enable you to communicate effectively at all levels, and your high degree of integrity ensures that you handle confidential issues professionally. Experience in project management would be advantageous, as would proficiency in using Microsoft Office Suite for presentations.

  • Strong time management skills with proven ability to multitask effectively
  • High attention to detail coupled with strong administrative and organisational skills
  • Excellent interpersonal skills with an ability to communicate effectively at all levels
  • High degree of integrity with demonstrated ability to handle confidential issues professionally
  • Experience in project management would be advantageous
