Executive Assistant to Directors - 12 month Temporary Position

Responsibilities:

  • Manage and coordinate administrative tasks to ensure the smooth operation of daily activities.
  • Assist in scheduling and organizing meetings including preparing meeting rooms and materials.
  • Maintain effective communication channels among team members and external stakeholders.
  • Take minutes during meetings, highlighting key points and action items for followup.
  • Conduct research and gather information for various projects and initiatives.
  • Assist in financial tasks, such as updating expense spreadsheets and processing payments as required.
  • Coordinate travel arrangements and accommodations for the family as required.
  • Organize and maintain files, documents, and records in both physical and electronic formats.
  • Collaborate with other team and family members to ensure timely completion of tasks and projects.
  • Assist in preparing reports, presentations and other documents as needed.
  • Manage calendars and schedules ensuring efficient use of time and resources.
  • Assist in resolving operational issues and implementing process improvements.
  • Maintain confidentiality and handle sensitive information with discretion.
  • Perform general office duties, including office supply management and maintaining a clean and organized workspace.

Qualifications:

  • Proven experience working as an Executive Assistant or similar administrative role.
  • Excellent organizational and time management skills.
  • Strong attention to detail and accuracy in work.
  • Excellent written and verbal communication skills.
  • Ability to multitask and prioritize tasks effectively.
  • Strong problemsolving and decisionmaking abilities.
  • Ability to work independently and collaboratively in a team environment.
  • Discretion and confidentiality in handling sensitive information.
  • Flexibility and adaptability to changing priorities and tasks.
