About the role
Siena Catholic College is seeking a highly organised and motivated Executive Assistant to provide high quality administrative support for the Principal and Leadership Team.
Typical duties will include, but are not limited to:
- Provide high quality administrative support to the Principal and Leadership Team, where discretion and judgement are required, including correspondence preparation and workflow management, and high-quality support to the Principal in the administration of College committees
- Manage the schedules and calendar of the Principal act as the first point of contact to the Principal for arranging appointments, making meeting and interview schedules
- Initiating and handling correspondence (which may include confidential correspondence)
- Perform general administration duties which includes monitoring telephone calls, establishing and/or maintaining working filing systems and hospitality for guests and visitors
- Recording of minutes at the Leadership Team Meetings
- Coordinate and be responsible for the end to end Student Enrolment process
- Respond and monitor all enquires for prospective parents in regard to enrolling at the College
- Maintain contact with new families who have been accepted into the College and ensure they are well informed of procedures and processes to make transitioning to secondary education a smooth transition
- Positively promote the College both internally and externally
- Generate reports for the Leadership Team on vacancies, future enrolments and current trends to assist in strategic planning
Personal Skills and Qualities
- Support the mission and ethos of the College
- Excellent communication and interpersonal skills able to relate harmoniously to others in the work environment and deal courteously with parents, staff, students and the general public.
- Confidentiality in liaising between the school, the student and the student's family where some discretion and judgement are involved
- A friendly, caring, giving person who can handle continual interruption
- Flexible able to cope with unexpected changes to routine
- Capacity to work under limited direction and supervision
- Demonstrated capacity to exercise initiative in selecting equipment, services, work organisation and actions to achieve outcomes within time constraints: able to plan ahead
- Advanced level of knowledge in operating Microsoft Office Suite (Word, Excel)
- Reliability and commitment
To be eligible to be considered for this role you will:
- hold a Paid Employee Positive Notice Blue Card prior to commencement;
- have a commitment to and understanding of the ethos and traditions of Catholic Education.
