The Department of Infrastructure, Transport, Regional Development, Communications and the Arts is responsible for the design and delivery of the Australian Government's infrastructure, transport, regional development, communications and arts policies and programs.

We do this by providing policy advice to government, and delivering programs, services, and research for the benefit of all Australians.


In the Department's Legal, FOI and Privacy Division, we provide high quality, practical, technically excellent and timely legal advice, support and services for the department and Ministers' offices, on the diverse areas covered by the portfolio.

The Division has also integrated with the Department's FOI team, who are responsible for coordinating all FOI matters within the Department.


The opportunities we have available:


We are looking for dynamic and adaptable staff to fulfil a team administrator (multiple positions) role in each of the Public Law and Commercial Law teams in the Division.

Out of this process, we may decide to establish a merit pool for future vacancies.

What will you do?:


The Team Administrator for either of the above roles will be the first point of contact for their respective areas of responsibility within the Division.

Responsibilities include, but are not limited to, the following in order to assist the lawyers in each respective team:

  • Client service including:
- assistance with the procurement of external legal services and other related administrative support (including record management) under supervision; and
- undertaking research;

  • Practice management including:
- updating intranet content;
- running LEX reports to check matter status;
- credit card reconciliation;
- process invoicing and accruals;
- assisting with staff onboarding activities;
- other required support for the Division, as required; and
- supporting improved work practices for the Division;

  • General administration and support including:
  • coordination of input for external and internal reporting;
- coordination of responses to requests for input on various centralised requests;
- diary management and organising appointments, meeting rooms, travel and registering training sessions for lawyers;
- assisting with general filing and maintaining filing protocol;
- assisting with the co-ordination of administrative recruitment activities;
- assisting with onboarding of new starters to the team;
- support for workflow and document management, including supporting Parliamentary Document Management System workflow for the team;
- preparing meeting agendas and taking minutes; and
- working with the team and other division staff to ensure that all incoming and outgoing external correspondence is managed appropriately ensuring all deadlines are met; and

  • Supporting the department being a safe and supportive working environment, including by complying with the APS Code of Conduct and relevant policies.

Who are we looking for?:

- experience with Microsoft office suite. Experience in using other IT platforms (such as LEX) is desirable, although not essential;
- has a keen attention to detail, takes initiative and responsibility for accurate and timely completion of work and seeks guidance when required.;
- proactive and energetic, and has the ability to always work collaboratively and operate as an effective team member;
- able to scan current and emerging priorities, identify the criticality of tasks, and manage the outcome as appropriate;
- build and sustain positive relationships with team members and a broad range of other stakeholders and build consensus to achieve outcomes;
- calm under pressure and not afraid to speak up and be professionally assertive where required; and
- able to exercise strong discretion in a position of trust, with particular regard to the sensitive nature of the work carried out by and within legal functions.
