THE ROLE
As the Administrative Assistant responsible for purchase orders and invoices, you'll play a crucial role in ensuring the smooth flow of procurement and financial processes.
- Responsibilities include:_
Purchase Orders:
Collaborate with various departments to create and process purchase orders, ensuring accurate details, proper authorisation, and adherence to budgetary guidelines.
Invoices:
Receive, review, and process vendor invoices, confirming they match corresponding purchase orders. Liaise with vendors to resolve any discrepancies.
Data Entry:
Maintain accurate and up-to-date records of purchase orders, invoices, and related documentation in internal systems.
Communication:
Coordinate with internal teams, suppliers, and vendors to facilitate smooth transactions, address inquiries, and resolve any issues related to purchase orders and invoices.
Reporting:
Assist in generating regular reports on purchasing activities, invoice processing, and financial transactions for management review.
ABOUT YOU
- Proven experience in administrative roles, preferably involving purchase orders and invoices.
- Strong organisational skills with keen attention to detail.
- Proficiency in data entry and record keeping.
- Effective written and verbal communication skills.
- Strong problemsolving abilities and a proactive approach.
- Excellent time management and multitasking skills.
