About the Role

Due to continuous growth, we are currently looking for a dynamic Cost Administrator to support our Franchise Projects team.

The Franchise Projects portfolio includes all projects delivered by Metro Trains Melbourne (MTM) on behalf of the Department of Transport (Formerly PTV).

It includes Third Party Projects accessing our network to conduct their own works examples of these are:
The Westgate Tunnel Project, North East Link and major Utilities like Melbourne Water.

The Cost Administrator is responsible for providing cost control support for the Franchise portfolio of works.

In this role you will assist in the preparation of project status reports, management of project cost information, general project administration, office management tasks and project team support.

This is a permanent full-time opportunity. As an MTM employee, you will have access to free travel along the network.

Key Areas of Responsibility

  • Assist in the creation and maintenance of project cost reports projects throughout the project lifecycle.
  • Assist optimisation of program level reporting by integrating the common work breakdown structure, coding, forecasting methods etc. across projects.
  • Use standard cost control procedures and processes when generating or managing work breakdown structures, monthly status reporting, change control, budgets, forecasting, financial support relating to contract administration and project cost closeout to ensure a consistent approach across a portfolio of projects.
  • Complete new project setup forms with provide appropriate backup to Finance.
  • Prepare requisitions / purchase orders and proactively process and manage claims, invoices and payments for all suppliers and subcontractors.
  • Maintain appropriate work order number, requisition and purchase order statuses.
  • Assist in the presentation of contract and other technical documents as required.
  • Ensure cost allocations are processed against the correct work order numbers.
  • Assist in providing information to Senior Cost Controller/ Project Managers around budgets, expenditure, forecasts and progress to accommodate decision making.
  • Produce expenditure tracking information against budget and accruals to meet Finance requirements.
  • Coordinate monthly project status review invitations and ensure monthly project status reports are saved and transmitted inline with document control requirements.
  • Maintain relationships between Estimating, Planning and Procurement to ensure effective flow of information and awareness of all aspects of project controls.
  • Interface with external work parties and participate in internal cost review sessions with all disciplines to create robust forecast and project cost outcome reporting.
  • Ensure compliance with project finance requirements to provide accurate, timely, quality accrual, cost and claim management processes.

Desired Qualifications, Skills and Experience:

  • 23 years' experience in project cost administration, finance, business administration or contract administration.
  • Ability to communicate effectively with all levels of management and staff (verbal and written).
  • Knowledge of key performance indicator reporting.
  • Experience of developing and maintaining effective relationships.
  • Ability to schedule work priorities to ensure deadlines are strictly adhered to.
  • Tertiary qualification in finance/business or equivalent would be advantageous
  • Ability to work effectively as part of a team
