About the role

Reporting to the Creative Manager, the Creative Project Coordinator will be responsible for overseeing the workflow of creative projects from inception to delivery, ensuring efficient resource allocation, and maintaining clear communication among team members. You will collaborate closely with designers, copywriters, content producers, marketers, and other internal & external stakeholders to ensure that projects are completed on time, within budget, and to the highest standards of quality. You will support the Creative Manager in driving creative excellence and ensuring brand consistency across all channels and touch points.

Playing a pivotal role in facilitating business growth, you will ensure the creative hub is efficient and well-resourced whilst fostering collaborative stakeholder relationships with key business leads to understand business needs.

Key Responsibilities

  • Establish and maintain a strong workflows and processes with the Creative and Content teams, being the glue that brings these teams together
  • Assess project requirements and allocate resources effectively, including assigning designers and other team members to projects based on their skills, availability, and workload
  • Coordinate the end-to-end workflow of creative projects, including assigning tasks, setting deadlines, and managing project timelines to ensure on-time delivery
  • Serve as the primary point of contact for all incoming creative project requests, ensuring that briefs are complete, deadlines are realistic, and priorities are clear
  • Support the team where needed for creative deliverables and design outputs (including FA) requiring urgent turnarounds or large scale rollout.
  • Set up and maintain excellent file management, brand/legal guidelines and templates.
  • Foster strong working relationships with internal stakeholders to understand project objectives and facilitate smooth project execution
  • Support the Creative Manager in driving and advocating for creative effectiveness, optimisation and excellence within the business
  • Identify opportunities to streamline processes and improve efficiency within the creative and content teams, implementing best practices and tools as needed enabling the team to scale
  • Review creative deliverables to ensure they meet brand guidelines, quality standards, and project requirements before final delivery
  • Maintain open lines of communication with team members, providing regular updates on project status, changes in scope, and potential roadblocks
  • Recruit and resource design agencies and freelance network to meet the evolving needs of our business
  • Negotiate agency contracts and ensure communication on marketing campaigns and ongoing work.
  • Oversee creative asset management and the process for allocating and retrieving supporting files to and from agencies.
  • Oversee profitability, deliverables, timelines and budgets

The Ideal Candidate

With a love for process and a flair for creative, you are passionate about architecting efficient workflows and processes that drive outcomes for a high volume team, backed by proven experience in traffic coordination within a creative agency or in-house design function.

With strong time management skills, you can work under pressure in a fast-paced, team environment with an adaptable approach. You have commercial acumen and understand the impact effective project management has on business outcomes, always applying your problem-solving mindset to drive efficiencies.

You are hyper organised with high levels of communication – you can clearly express ideas, information and updates to key internal and external stakeholders, collaborating and negotiating effectively to manage expectations, ensuring that stakeholders are kept informed and that everyone is playing their part in bringing the creative process to life.
