Due to an internal promotion, our client within Private Equity, is looking for a Reception/Junior PA with a proven track record of providing seamless administrative support and value add to join their experienced and highly energised Sydney team.

Working within a busy, fast paced, deadline driven industry and office you will take ownership for the front desk plus 4 Execs whilst also anticipating and supporting the needs of others.

This role offers significant ownership, responsibility, and variety as you help to provide the administrative backbone and foundation to this high performing business.

Key Responsibilities will include:

  • Perform daily reception duties of greeting guests, answering phone calls and general enquiries
  • Arrange and order daily lunch, catering for meetings and events
  • Handle daily mailing activities, sort and distribute all incoming correspondence, faxes and emails
  • Handle administrative and clerical work such as purchasing stationery, pantry supplies
  • Perform housekeeping support and daily office routine including office supplies & equipment maintenance
  • Provide administrative support in conferences, external and internal events, meetings and training sessions
  • Organise travel across time zones; liaise with the Travel Desk and local/overseas offices. Finalise itineraries, flight and hotel arrangements, visas and forex processing
  • Provide secretarial and administrative support to the deal staff as assigned
  • Track business expenses and prepare expense reports

To succeed with your application, you will ideally have:

  • Proven success in supporting a team in an administrative capacity, with front of house experience
  • The communication skills and maturity to build effective relationships with senior executives, clients and colleagues
  • Proven ability to manage tasks with competing priorities and deadlines
  • A proactive, one step ahead work ethic, can-do attitude and approach
  • An outcomes-driven approach to work
