  • About the role
  • We currently have an exciting opportunity for a valuesdriven and proactive Site and Program Administrator located in Ballarat.
This position is responsible for the provision of the highest standard of Business, Administrative and Customer support to direct service delivery staff.

  • You will successfully
  • Work in collaboration with Program Manager to ensure oversight of key accounts payable and IT business functions
  • Provide Administrative & Business Support with Accounts Payable, Fleet Car Management, Asset Management, Maintenance Management, Procurement requirements & Continuous Quality Improvement projects
  • Provide administrative assistance with Continuous Quality Improvement projects including the QIP Quality Workplan , National Reconciliation Action Plan and inclusive practice through Rainbow Tick accreditation
  • Assist with IT hardware, mobile phone and personal duress alarm requests as well as staff identification tags, COVID reporting and compliance requirements
  • Establish and maintain key regional systems, including annual training calendars, On Call Roster, Student Placement Register, Network Register and Working Group Register
  • Assist Program Managers and Leadership Teams with the reconciliation of accounts payable tasks including petty cash, invoice payments, Imprest Cards, client brokerage expenses, material aid vouchers and program acquittals
  • Assist Program Managers and Leadership Teams with revenue accounting tasks including raising invoices for program reimbursements, identifying & receipting deposits and banking requirements
  • Coordinate site maintenance in line with WHS compliance requirements
  • You will have
  • Relevant Business qualification such as Certificate IV or Diploma in Business Administration (desired)
  • Demonstrated experience in reception/administration responsibilities
  • Welldeveloped interpersonal and excellent verbal and written communication skills with the ability to liaise and build strong relationships with a diverse range of stakeholders
  • High attention to detail with proven ability to maintain confidentiality of service users and professionally handle sensitive data and information
  • Demonstrated time management and organisational skills with a proven ability to clarify roles and responsibilities of self and team members whilst monitor task completion to ensure objectives and priorities are met
  • Knowledge of health and safety responsibilities and commitment to performing duties in a safe manner to ensure safety of self and others
  • A current VIC Drivers Licence
  • Valid VIC Employee Working with Children Check
  • Ability to provide proof of Eligibility to Work in Australia
