The Opportunity


Our client is a highly successful independent Melbourne-based agency specialising in the sale, leasing and management of Melbourne CBD, metropolitan and regional commercial property.


Their team is highly engaged across Melbourne's evolving commercial property market, leveraging the founder's 30 years' agency and advisory experience.

They have an established list of clients that they've built great trust in including Private Investors, Property Syndicates, Family Offices, Property Developers and wide-ranging active property funds.


Their boutique size enables them to have genuine, one-on-one personal relationships with the ability to scale-up on an 'as needed' basis by partnering with industry experts to ensure they deliver the best outcomes for their clients.


The Role
An opportunity now exists for a very good administrator to join this boutique Commercial agency located in the CBD.

Working as part of a professional team, you will be kept busy & challenged as you will effectively oversee and manage the day-t0-day administration of the office, supporting sales, leasing, and the property management teams.

The role will involve working closely with the Director along with other office staff.

Tasks include but are not limited to:

  • Manage database, mailing lists including e-flyers to target markets
  • Arrange appointments and update Principal's diary
  • Manage all website listings: RealCommercial, CommercialView, and company website
  • Coordinate marketing campaigns direct with the advertising agency; including marketing budgets, invoicing clients, suppliers, and following up debtors
  • Implementing and maintaining file register system for Leasing, Sales, and Property Management
  • Prepare all written correspondence i.e., letters, meeting requests, reports, and submissions
  • Answering phones, typing, filing, document control, archiving, weekly reports & preparing minutes
  • Update procedures, templates, manage office maintenance and improvements
  • Manage office contracts (phones, electricity, etc.)


General Accounts
  • Invoicing clients, creditor payments, payroll, superannuation payments, BAS/IAS preparation, reconcile credit card statements, assist with tax return queries, update fee forecast, and review annua subscriptions.
As an experienced real estate professional, you will possess the knowledge and know how to tackle anything this business can throw at you You must have the following attributes:

  • Current Agent's Representative Certificate
  • Knowledge in GOAT and Surga is an advantage but not essential
  • Experience in general office administration, including sales and marketing
  • Understanding of Commercial Real Estate, Landlord, and Tenant management
  • Ability to work well with small team in a highly energized and dynamic environment
  • Willingness to multitask and do what is required to achieve desired outcome
  • Ability to work to timelines and openness to be flexible to complete tasks
  • Good stakeholder management
  • Highly organized with a professional style and demeanor
